Job description
About the Role
We are looking for an organized and meticulous Document Controller to support our Oil & Gas EPC operations throughout the UAE. The ideal candidate will manage the preparation, submission, and tracking of government-related documents via official UAE portals and ERP systems, ensuring full adherence to regulatory and company standards.
Key Responsibilities
- Manage employment visa applications, renewals, status changes, transfers, and cancellations through GDRFA and ICP/ICA portals, collaborating with HR and PRO teams to meet deadlines and maintain compliance with UAE immigration rules.
- Coordinate medical fitness tests and Emirates ID processing by submitting applications through SEHA, DHA, and ICP portals, scheduling biometric appointments, and collecting necessary documents.
- Oversee vehicle-related documentation including registration, renewal, transfers, and traffic NOCs, coordinating with RTA and other relevant authorities while maintaining precise records.
- Handle labour-related paperwork such as contracts, work permits, offer letters, and quota applications via MOHRE systems, ensuring compliance with UAE labour laws.
- Prepare and maintain regulatory and corporate documents required by DED, Municipality, Chamber of Commerce, and other government bodies, including establishment cards and licenses.
- Provide accurate Arabic and English typing services, completing government forms and aiding document translation while ensuring proper formatting and precision.
- Maintain thorough records within ERP/document management systems, process government-related invoices for Finance, and keep a complete archive of physical and digital documents.
- Create regular reports regarding visas, labour, medical, and licensing matters; uphold confidentiality of company and employee information; liaise effectively between HR, PRO, employees, and authorities; and provide timely updates on governmental procedures.
Qualifications & Experience
- 2 to 4 years of experience in UAE government documentation, typing, or PRO support, preferably within Oil & Gas, Engineering, Construction, Industrial, or EPC sectors.
- Experience working with ERP platforms such as Oracle or SAP is highly valued.
- Minimum education requirement is a High School Certificate, with Diploma or Bachelor's degree preferred.
