Job Overview
We are looking for a proactive and meticulous Office Coordinator to become an essential part of our team. This role involves managing daily financial workflows, optimizing office functions, and delivering dependable support throughout the department.
The position suits an individual who enjoys multitasking, handling a mix of duties like purchase order management, end-of-month financial activities, and organizing team events.
- Start Date: 28th September 2026
- End Date: 30th November 2026
- Hourly Compensation: $35 plus 8% holiday pay
- Weekly Hours: 37.5
- Workplace: Office based in Wellington City
Primary Responsibilities
- Generate and oversee purchase orders from issuance through to completion.
- Partner with internal teams and stakeholders to keep precise records and quickly solve supplier or order-related discrepancies.
- Manage invoice handling and ensure supplier bills accurately reflect agreed costs.
- Serve as the key liaison for accounts payable and receivable inquiries, clarifying cost ownership and facilitating invoice approvals.
- Support the Finance team in preparing and posting financial journal entries.
- Act as a resource for staff needing guidance on internal procedures and direct requests to appropriate teams.
- Provide comprehensive business administrative assistance across the department.
- Help managers with scheduling meeting rooms and coordinating workspace arrangements.
- Organize and support workplace and team events.
Candidate Profile
- Proven experience in business administration or finance support roles combining operational and financial tasks.
- Sound knowledge of purchase order systems, invoice reconciliation, and foundational accounting practices.
- Exceptional communication abilities and a client-service orientation to collaborate effectively across departments.
- Detail-focused with excellent problem-solving skills and clarity in defining process ownership.
- Well-organized with event planning capabilities and management of physical office layouts.
