Job description

Role Overview

The Scheduling Coordinator will organize and manage weekly schedules for clients and Care Professionals, ensuring alignment with client requirements, caregiver skills, availability, and preferences. The role prioritizes consistent care by matching caregivers to clients thoughtfully and maintaining smooth communication regarding scheduling.

Key Responsibilities

  • Create and update weekly schedules for clients and caregivers according to needs and availability.
  • Match Care Professionals with clients aiming for continuity and consistent caregiver assignments.
  • Communicate schedule changes promptly and clearly to clients, families, and caregivers.
  • Handle caregiver absences, requests for time off, and last-minute schedule adjustments.
  • Identify and fill open shifts to ensure adequate coverage.
  • Address urgent and emergency scheduling situations to avoid care disruptions.
  • Monitor working hours, overtime, and staffing requirements to maintain proper coverage levels.
  • Collaborate with recruitment and management regarding current and future staffing demands.
  • Keep accurate scheduling records within the organizational system.
  • Foster positive relationships with Care Professionals and help resolve scheduling issues.
  • Relay client updates and caregiver concerns to appropriate team members.
  • Participate in on-call rotation weekly nights and monthly weekends, managing after-hours schedule needs.
  • Arrange emergency coverage for unexpected staffing shortages while on call.
  • Provide direct caregiving support during critical staffing shortages to maintain client safety and care continuity.
  • Support general office and administrative activities when needed.

Additional Information

This position requires participation in an on-call rotation schedule, including one weeknight per week and one weekend per month, to address scheduling and caregiver needs outside of regular hours. Providing hands-on caregiving during emergencies is an essential aspect of this role to ensure seamless client support.
