Job description

Role Overview

We are seeking an enthusiastic and approachable individual to join the Facilities team as a Facilities Coordinator for Residential Accommodation at Ysbyty Gwynedd Hospital. The successful candidate will support the staff residential accommodation services by managing bookings, ensuring property security, key control, and maintaining accurate records. This role operates independently, requiring self-motivation, prioritization, and adherence to operational standards and procedures to deliver timely services. Effective liaison with tenants and other stakeholders is essential.

Key Responsibilities

  • Communicate effectively with residents, family members, suppliers, tradespeople, and council staff through face-to-face, telephone, and written interactions, sometimes navigating cultural and language differences with tact and sensitivity.
  • Manage accommodation allocations in line with the Health Board's Accommodation Policies, National Standards for Living and Working Conditions for Hospital Doctors in Training, and relevant Welsh legislation.
  • Maintain comprehensive electronic records of accommodation usage, including licenses and tenancy agreements, ensuring compliance with legal requirements and data protection laws.
  • Generate detailed reports using spreadsheet software to support management decision-making.
  • Support service improvement initiatives and assist with specific projects as needed.

Required Qualifications and Experience

  • Proficient computer skills, including Microsoft Excel and Word.
  • NVQ Level 4 in a Facilities-related subject or willingness to obtain this qualification.
  • Experience working within Facilities management.
  • Competence in using electronic information systems.
  • Strong administrative and organizational capabilities.

Preferred Skills and Attributes

  • Familiarity with HAMS software.
  • Knowledge of waste management practices.
  • Ability to work independently without close supervision.
  • Good verbal communication skills demonstrated by tact and sensitivity.
  • Friendly and outgoing personality with a flexible approach to work.
  • Physical ability to lift and maneuver heavy items.
