Role Overview
The Operations Manager will serve as the pivotal coordinator among management, faculty, administrative teams, students, and support personnel, ensuring that all institutional functions are executed efficiently, systematically, and according to schedule. This position demands exemplary leadership, communication, supervisory skills, and capability in resolving diverse operational issues promptly.
Primary Responsibilities
- Oversee all operational and administrative processes to run smoothly across the institution.
- Coordinate efforts between departments, faculty, and staff to enforce management directives and institutional policies correctly.
- Actively identify and resolve operational bottlenecks, uphold discipline, and foster a productive workplace atmosphere.
- Manage class operations by ensuring schedules stick to approved timelines, coordinating with faculty for availability and substitutions, and guaranteeing necessary resources are ready before classes commence.
- Maintain and communicate an updated master timetable to avoid scheduling conflicts and inform all stakeholders about any changes efficiently.
- Supervise faculty, administrative employees, counselors, and support staff, allocating tasks, tracking attendance, evaluating discipline, and providing operational feedback.
- Handle student-related operations including disseminating information, resolving routine complaints, maintaining discipline, and escalating significant concerns appropriately.
- Ensure office operations meet the required standards, including keeping records, procuring stationary, liaising with vendors, and overseeing facility maintenance and IT infrastructure.
- Serve as the communication hub between management, staff, students, parents, and external parties; organize meetings and disseminate key information accurately.
- Monitor institutional performance through comprehensive reporting and maintain records of critical decisions and activities.
- Uphold staff discipline and confidentiality, promptly address operational or disciplinary issues within delegated authority, and report major incidents to higher management.
- Take proactive ownership of institutional operations to prevent issues before impact, manage timely completion of responsibilities, and undertake additional relevant duties as assigned.
