Key Responsibilities

  • Confirm that all deliveries are accompanied by Good Receiving Notes (GRN), purchase orders, and related documents.
  • Receive and inspect all incoming goods and supplies, verifying quality and quantity against purchase orders or delivery notes.
  • Maintain organized and efficient storage using systematic methods, including FIFO stock rotation for easy retrieval.
  • Keep copies of orders and receiving documentation, noting scheduled delivery dates and GRN numbers on file.
  • Ensure invoices and delivery documents are properly stamped and recorded in the Daily Receiving Summary, which includes all invoices posted each day.
  • Obtain signatures from heads of departments on invoices before forwarding to Accounts.
  • Record any goods received without adequate documentation in Birch Street/Check SCM, treating them similarly to delivery notes in both digital and paper formats.
  • Accurately document and track all rejected goods, containers, empty bottles, and cases leaving the hotel.
  • Prepare Credit Memo records for returned items.
  • Ensure loading bay items are secured and comply with health and safety standards.
  • Maintain storage areas in a safe, clean, and well-organized state consistently.
  • Ensure that goods are properly and neatly stored and that cleaning schedules are followed.
  • Periodically conduct stock audits to reconcile physical inventory with system records.
  • Analyze inventory usage and trends to optimize stock levels and reduce carrying costs.
  • Carry out monthly stock takes of storerooms and other designated areas as directed.
  • Distribute items to departments based on approved requisitions.
  • Regularly replenish stock in accordance with PAR levels.
  • Assist the Food & Beverage Controller with monthly inventory management across beverage stores and outlets.
  • Identify and report damaged or defective items and coordinate replacements or returns with relevant teams.
  • Engage in cross-training within other accounts areas to promote career development and provide coverage during absences.
  • Participate in all required training courses.
  • Collect signatures from department representatives upon issuing received items.
  • Maintain comprehensive knowledge and command over all stored products.
