Job description
Role Overview
An established organization based in Abu Dhabi is looking for a highly organized and proactive Office Manager. This individual will support a senior executive and take charge of coordinating strategic initiatives, executive priorities, governance tasks, and interdepartmental projects. The position requires exceptional project management and stakeholder coordination skills to ensure initiatives are delivered efficiently in a dynamic setting.
Key Responsibilities
- Oversee the daily scheduling, meetings, and commitments of the executive office.
- Organize leadership meetings and monitor follow-ups on critical action items.
- Develop executive-level presentations, reports, briefing notes, and correspondence.
- Serve as a primary liaison connecting the executive office with internal teams and external parties.
- Facilitate communication and collaboration across different business units.
- Assist with planning, implementing, tracking, and reporting on strategic projects.
- Supervise timelines, milestones, risks, and deliverable management for projects.
- Engage and coordinate cross-functional teams to meet project goals.
- Maintain dashboards, project trackers, and consolidated status updates.
- Identify risks or delays, escalate issues appropriately, and propose mitigation strategies.
- Track decisive executive actions and ensure prompt completion of tasks.
- Establish mechanisms for monitoring progress against company objectives.
- Compile management reports and executive summaries regularly.
- Build and maintain trusted working relationships with senior leaders and stakeholders.
- Arrange meetings with government bodies, external collaborators, consultants, and suppliers as necessary.
- Promote a professional, efficient atmosphere in the executive office environment.
Qualifications & Experience
- Bachelor’s degree in Business Administration, Management, Project Management, or a related field.
- Preferred certifications include PMP, Prince2, CAPM, or equivalent project management credentials.
- At least 7 years’ experience supporting senior executives or leadership teams.
- Demonstrated expertise in project management and coordination.
- Ability to juggle multiple priorities, manage diverse stakeholders, and drive business initiatives concurrently.
- Proficient in preparing reports and presentations with excellent organizational skills.
- High-level skills in Microsoft Office, particularly PowerPoint and Excel.
- Background in Executive Office support, PMO, Strategy, Business Excellence, Corporate Performance, or similar environments is advantageous.
- Strong communication and writing abilities in both Arabic and English.
