Role Overview

We seek a methodical and organized Document Controller to join our team in Diriyah, Riyadh, Saudi Arabia. This key role involves managing the flow of project-related documents, maintaining meticulous records, and ensuring efficient document control processes throughout the project lifecycle. Your analytical abilities and teamwork will be vital in supporting project teams and maintaining compliance with standards.

Key Responsibilities

  • Develop and sustain robust document control systems aligned with project demands and internal policies.
  • Accurately receive, log, categorize, and distribute project documents, both incoming and outgoing.
  • Ensure appropriate filing, systematic organization, and easy accessibility of documents for authorized personnel.
  • Coordinate with engineers, contractors, and project members to collect, verify, and process technical documentation promptly.
  • Maintain strict version control and track all updates and revisions diligently.
  • Generate and circulate regular status reports on document progress to stakeholders and management.
  • Conduct quality assurance reviews to validate compliance with project and organizational standards.
  • Oversee and enhance the electronic document management system (EDMS), including user training and support.
  • Work collaboratively with project managers and supervisors to facilitate document access for design reviews and construction oversight.
  • Contribute to the development and continuous improvement of document control policies and best practices.
  • Assist with project closeout by organizing and archiving final project documentation.
  • Maintain confidentiality and ensure secure handling of sensitive information per regulatory requirements.

Required Qualifications and Skills

  • Bachelor’s degree in Business Administration, Information Management, or a related discipline.
  • Proficient in EDMS systems such as Aconex, and skilled with Microsoft Office applications including Word, Excel, and PowerPoint.
  • Strong understanding of document control methodologies, best practices, and industry standards.
  • Exceptional organizational skills and precision with attention to detail.
  • Ability to handle multiple tasks effectively in a dynamic work environment.
  • Excellent verbal and written communication abilities and interpersonal skills.
  • Experience managing databases and performing accurate data entry.
  • Knowledge of filing and archiving protocols.
  • Awareness of pertinent industry regulations and standards.
  • Capable of working autonomously and collaboratively within teams.
