Role Overview
The On-Site Document Controller will oversee the systematic management of all project documentation to guarantee accuracy, compliance with standards, and prompt distribution. This position plays a critical role in supporting the project team by managing document workflows, keeping comprehensive document registers, and ensuring documentation is appropriately stored and updated to meet company policies and client specifications.
Key Responsibilities
- Handle the reception, registration, dissemination, monitoring, and archiving of project-related documents
- Maintain precise document control registers, logs, and databases
- Ensure all documents are issued with correct revision numbers and adhere to document control protocols
- Facilitate the exchange of technical documents, drawings, reports, and correspondence among project team members, clients, consultants, and subcontractors
- Track document review and approval processes and follow up on pending actions
- Archive outdated documents ensuring only the latest versions are accessible
- Manage both electronic and physical filing systems effectively
- Generate regular document control reports and provide status updates to project management
- Assist in audit processes by maintaining complete, accurate, and accessible documentation
- Ensure adherence to company quality management systems and client-specific document control policies
- Provide administrative and document management support to the project team as needed
Required Qualifications
- Diploma or Bachelor's degree in Business Administration, Information Management, Engineering, or related discipline
- At least 3 years’ experience as a Document Controller, ideally within construction, infrastructure, EPC, or engineering projects
- Proficient in Microsoft Office, especially Excel and Word
- Familiarity with document management platforms like Aconex, EDMS, SharePoint, Procore, Autodesk Construction Cloud, or similar
- Strong organizational abilities and effective time management skills
- Meticulous attention to detail ensuring data accuracy
- Excellent communication and interpersonal skills to foster teamwork and coordination
- Capability to work independently and handle multiple tasks in a high-paced project environment
Preferred Skills
- Understanding of ISO document control standards and quality management systems
- Experience dealing with large-scale construction or infrastructure projects
- Ability to protect confidentiality and manage sensitive project-related information with professionalism
