Role Overview
We are searching for a Document Controller to assist project teams, stakeholders, and clients by overseeing, governing, and maintaining project and organizational documentation throughout its entire lifecycle. Your role will ensure information is accurate, easily accessible, well-controlled, and thoroughly traceable while facilitating document submissions, review and approval processes, and responding to information requests in environments such as project management, infrastructure, engineering, or construction.
Responsibilities
- Oversee the management of project documents, records, and information workflows throughout the lifecycle.
- Assist project teams by handling information requests, submissions, review cycles, approvals, and distribution.
- Implement document control best practices, including version tracking, metadata management, structured filing, naming conventions, and governance.
- Ensure project information is precise, comprehensive, accessible, and traceable at all times.
- Utilize and support enterprise document management systems such as ProjectWise, AssetWise, Aconex, Asite, SharePoint, or similar platforms.
- Address information-related inquiries and clearly communicate document control standards, processes, and requirements.
- Cultivate collaborative relationships with stakeholders to efficiently resolve document and information issues.
- Support security measures concerning access controls, permissions, secure handling, and data protection.
- Promote continuous enhancements in document control and information management procedures.
- Maintain meticulous records of document submissions, reviews, revisions, approvals, and current information status.
Qualifications and Experience
Essential Criteria:
- Hands-on experience in Document Control, Information Management, or related roles.
- Proven capability managing project documents, records, workflows, and approval processes.
- Familiarity with version control, metadata application, filing systems, information quality, governance, access, and traceability principles.
- Experience operating enterprise document management software such as ProjectWise, AssetWise, Aconex, Asite, or SharePoint.
- Excellent organizational skills with an acute attention to detail.
- Effective communication skills tailored for both technical and non-technical stakeholders at varying levels.
- Strong writing skills accompanied by a customer-service mindset for resolving information inquiries.
Desirable Criteria:
- Background in infrastructure, engineering, construction, utilities, transportation, defense, government, regulated, or other document-intensive sectors.
- Knowledge of ISO 19650 standards regarding information management.
- Understanding of information security protocols, GDPR compliance, data protection, access controls, and secure information handling.
- Experience with Lean methodologies, continuous improvement practices, operational excellence, or business process optimization.
- Additional data and digital skills, such as familiarity with Microsoft Fabric, SQL, data pipelines, data governance, or information architecture.
- Relevant academic qualifications in Information Management, Business, Engineering, Computer Science, Data Science, or related fields are advantageous but practical experience is prioritized.
- A strong willingness to develop broader digital, data, and information governance expertise within a global consultancy framework.
