Position Overview
We are looking for a meticulous and reliable Data Entry Clerk Specialist to become part of our remote workforce. The primary responsibility is to accurately input, update, verify, and organize company data across multiple platforms such as databases, spreadsheets, and internal management systems. This role demands someone with great attention to detail, proficient computer skills, and the ability to independently meet deadlines while maintaining confidentiality.
Key Responsibilities
- Precisely input and refresh data within databases, spreadsheets, CRM, ERP, and other software.
- Examine source documents carefully to validate information prior to data entry.
- Detect and fix errors, remove duplicate entries, and fill in missing data.
- Keep electronic records well-organized and up to date according to company standards.
- Conduct periodic quality assurance checks and audits to maintain data integrity.
- Cross-verify entered data against original documents to ensure validity.
- Manage substantial data volumes while upholding consistency and precision.
- Regularly update various company records including customer, employee, vendor, inventory, financial, and operational information.
- Digitize content from paper forms, PDFs, emails, and other formats into electronic records.
- Systematically organize and preserve digital files following organizational policies.
- Provide authorized team members with requested data or reports efficiently.
- Support database cleanup and data management initiatives as required.
- Maintain productivity logs and progress reports where necessary.
- Collaborate with relevant departments to resolve incomplete or inconsistent data issues.
- Adhere strictly to confidentiality protocols when handling sensitive information.
- Assist with ancillary administrative duties and special data projects.
- Meet key performance benchmarks including accuracy, productivity, speed, and quality standards.
- Report ongoing data problems or system issues to supervisors promptly.
- Comply with all company data security and privacy requirements.
Data Quality and Accuracy
- Maintain exceptionally high levels of data accuracy consistently.
- Double-check information before final submission of records.
- Identify and resolve discrepancies between source material and system data.
- Correct errors promptly, documenting significant changes as necessary.
- Follow standardized data entry methods and formatting protocols.
- Suggest improvements for data entry workflows to minimize errors.
- Detect and manage duplicate records appropriately.
- Keep databases and spreadsheets orderly, consistent, and current.
Required Qualifications
- Minimum of a high school diploma or equivalent; additional education or training in relevant fields is advantageous.
- Prior experience in data entry, clerical support, records management, or related administrative roles preferred.
- Proficiency in typing and general computer use.
- Exceptional attention to detail and precision in work.
- Strong written and oral communication capabilities.
