Job Objective
We seek a meticulous and responsible Vault Operator to ensure secure management, storage, and handling of sensitive equipment and materials. The role requires strict access control enforcement, precise inventory tracking, and compliance with all security and regulatory standards, while maintaining confidentiality and supporting smooth vault operations.
Key Responsibilities
- Oversee daily vault functions, managing safe storage and handling of sensitive items including equipment and documents.
- Implement strict security measures ensuring only authorized personnel access the vault using badges, biometrics, and logging systems.
- Keep precise records of vault entries and exits and monitor access logs to support audits.
- Manage receipt, storage, and issuance of items based on validated documentation or system requests.
- Maintain detailed inventories with serial numbers and batch tracking, ensuring proper labeling and traceability.
- Perform regular inventory audits to identify and resolve discrepancies.
- Prepare secure packaging and coordinate safe transfer of high-value or confidential materials.
- Generate comprehensive reports on inventory status, access activities, and security incidents.
- Ensure compliance with company policies and applicable regulatory standards.
- Promptly report any breaches, discrepancies, or suspicious activities to management.
- Assist during internal and external audits with accurate documentation and support.
- Adhere to safety protocols, confidentiality requirements, and data protection standards.
Experience and Qualifications
- Minimum of 5 years of relevant experience handling vaults, warehouses, or inventory operations.
- Proficiency in Microsoft Excel for data entry, inventory management, and report generation.
- Familiarity with Microsoft PowerPoint for preparing presentations and reports.
- Experience working with ERP systems related to inventory and material management.
- Knowledge of security protocols and access control procedures.
- Preferred forklift operation skills, including narrow aisle forklift experience.
- Ability to manage confidential and sensitive materials with a high degree of accuracy and attention to detail.
- Strong communication skills and ability to coordinate within a secure, compliance-focused environment.
- Willingness to learn new tools, technologies, and equipment to enhance job performance.
