About the Role
Located in St. Catharines, Ontario, our client is a renowned organization in the specialized electronics manufacturing industry seeking a meticulous Quotes & Proposals Coordinator. This individual will support the commercial and sales operations by managing customer quotations, reviewing RFQs and contracts, coordinating proposal responses, and ensuring adherence to technical and commercial specifications. The role is pivotal to delivering precise, timely, and well-organized customer responses for highly tailored products and projects.
Key Responsibilities
- Examine incoming RFQs, bid requests, and related customer documents to aid quotation and proposal preparation.
- Collaborate with internal sales and technical teams to gather pricing details, product specifications, and relevant materials.
- Produce customer quotations, commercial documents, and contract paperwork with exceptional accuracy.
- Analyze extensive contracts and technical specifications to identify requirements, risks, and compliance factors.
- Monitor proposal deadlines, submission criteria, and follow-up actions to ensure on-time delivery.
- Organize and maintain records of quotes, proposals, contracts, and customer communications efficiently.
- Facilitate ongoing communication with customers concerning pricing, order information, and proposal statuses.
- Contribute to enhancements in proposal tracking, contract management, and reporting processes.
- Oversee customer bid portals and assist in coordinating submission requirements and supporting documentation.
Candidate Profile
- 3 to 5 years of experience in quotation management, contract administration, proposal coordination, sales support, or a related area.
- Excellent attention to detail with a capability to interpret complex and lengthy documents and specifications.
- Comfortable operating in a detail-focused, process-oriented environment with multiple overlapping deadlines.
- Strong organizational and project management abilities.
- Professional communication skills paired with a customer-centric approach.
- Experience with RFQ, RFP, or government/tender submissions is an added advantage.
- Capacity to work collaboratively across sales, operations, and technical divisions.
- Proficiency in Microsoft Office applications and familiarity with ERP or CRM systems.
- Displays reliability, accountability, and a commitment to long-term success.
Additional Information
Position based onsite in St. Catharines, Ontario.
Competitive salary range between $65,000 and $75,000 annually, determined by experience.
