Overview
The Procurement Expeditor plays a vital role in facilitating timely delivery of purchased goods and services by actively tracking purchase orders, supplier promises, and coordinating delivery activities. This position ensures continuous supply that meets approved requests through diligent monitoring and communication.
Key Responsibilities
- Track purchase order statuses and supplier commitments from issuance to delivery to verify alignment with agreed timelines, quantities, specifications, and supporting documents.
- Collaborate with suppliers and internal teams to receive regular progress updates, recognize scheduling risks, and maintain precise visibility of order progress and estimated delivery.
- Proactively follow up on delayed or high-risk purchase orders, identify causes of delay, and coordinate compensatory actions to encourage prompt resolution.
- Review procurement documents and supplier confirmations for accuracy and completeness, flagging any discrepancies or potential delivery limitations for appropriate handling.
- Maintain comprehensive records of order statuses, supplier commitments, delivery milestones, and pending tasks within authorized procurement or enterprise platforms.
- Report critical delays, supply risks, quality issues, or contractual problems through correct channels and support facilitating timely corrective measures.
- Work with applicable stakeholders to coordinate shipment, inspection, receipt, and delivery processes to assure smooth procurement operations in line with schedules.
- Assist supplier performance monitoring by providing reliable expediting data, detecting recurring challenges, and contributing insights for performance review and improvement activities.
- Compile regular procurement expediting reports summarizing order status, delayed items, potential risks, bottlenecks, and necessary actions from involved parties.
- Adhere to approved procurement policies, procedures, authorities, contract terms, and compliance regulations in all expediting tasks.
- Engage in continuous process improvement efforts by recommending enhancements in tracking, communication, reporting, and supplier delivery effectiveness.
Qualifications and Experience
- Bachelor’s degree in supply chain management, procurement, business administration, engineering, or related subject from an accredited university.
- Professional procurement or supply chain certifications such as CIPS, CPSM, or equivalent preferred.
- 2 to 4 years of hands-on experience in procurement, supply chain, expediting, logistics, or a comparable sector.
- Proven background in purchase order expediting, supplier liaison, delivery tracking, and addressing procurement delays.
- Familiarity with supplier, contractor, and internal coordination within operational, industrial, engineering, or project-driven environments is advantageous.
- Proficiency with ERP or procurement management systems for order tracking, record keeping, and generating procurement status updates.
