Job Overview
The Principal Document Controller addresses uncommon or exceptional issues using proven practices and precedents, significantly influencing the quality of the team's output. This role involves delivering technical document control information and proposing enhancements to current workflows.
Key Responsibilities
- Develop proficiency in the iDocs system.
- Build foundational technical skills required to accomplish assigned duties.
- As Lead Document Controller, manage small to medium document management teams and drive projects with cross-disciplinary involvement.
- Coordinate document control tasks within own discipline and collaborate with other teams.
- Lead document management efforts ensuring adherence to schedules, budgets, standards, and procedures.
- Plan and oversee project discipline execution including scope, deliverables, schedules, and workforce resources in agreement with the Engineering Manager.
- Identify clear interfaces and deliverables among disciplines.
- Monitor progress and productivity, implementing corrective measures as needed.
- Serve as the primary discipline contact for project communications involving clients, vendors, subcontractors, auditors, and certifying authorities.
- Develop execution plans and work instructions aligning with client and company standards.
- Understand contract specifics and team requirements related to document management for successful project delivery.
- Set up and maintain project Electronic Document Management System (EDMS) platforms to match technical specifications.
- Manage staffing plans and budgets for efficient resource allocation and cost control.
- Advise project management on document management strategies and interface requirements.
- Ensure seamless document sharing among all project stakeholders, including partners.
- Interface daily with clients, suppliers, and subcontractors regarding document management issues.
- Facilitate timely technical information flow via EDMS to all parties involved.
- Prepare and issue project document status reports such as the master document register.
- Supervise document management staff, providing feedback on performance.
- Provide EDMS training for project personnel and instruct document management staff on procedures and systems like Unifi.
- Support continual improvement of document management processes, systems, and tools.
- Lead or participate in internal and external audits as required.
- Report regularly on project document management status and concerns to management.
- Engage actively with counterpart teams for collaborative document workflow.
- Ensure proper document handover and archival in line with contractual obligations.
- Contribute lessons learned to management for future project enhancements.
Qualifications
- Bachelor's degree in any field or equivalent diploma, preferably in Computer Science.
- Minimum 10-15 years of document management experience with a major contractor or consultant.
- Strong knowledge of EDMS software, Microsoft Office suite, and Adobe applications.
- Proficient in MS Word, Access, PowerPoint, Excel, and Project.
- Experience working with industry-standard EDMS tools.
- Broad experience with technical operations including both onshore and offshore activities.
- Demonstrated leadership and business expertise within relevant industries.
- Capability to perform effectively both as a team member and as a team leader.
- Excellent organizational, multi-tasking, and time management skills.
- Detail-oriented, reliable, and able to prioritize multiple tasks.
- Strong communication, business insight, and sound decision-making abilities.
- Certified iDocs Trainer is preferred.
