Job description
Role Overview
The Document Controller will oversee the management, organization, and preservation of project documentation in compliance with company policies and regulatory standards. This position guarantees document accuracy, enforces version control, and ensures secure handling and timely dissemination of documents among internal teams and external partners.
Key Responsibilities
- Manage end-to-end document control processes for engineering, construction, and administrative projects.
- Maintain and regularly update the Master Document Register tracking all document inflows and outflows.
- Ensure accurate document numbering, version tracking, and adherence to internal controls.
- Receive, classify, review, archive, and distribute documents to appropriate departments.
- Track document submissions including approvals, rejections, and required revisions.
- Liaise with project managers, consultants, contractors, and government authorities.
- Generate documentation status reports on a daily, weekly, and monthly basis.
- Maintain secure storage of both electronic and physical documents while upholding confidentiality standards.
- Support administrative duties such as drafting correspondence, filing, and records management.
- Monitor pending documentation and ensure deadlines are adhered to.
- Organize document repositories for authorized access and easy retrieval.
Required Skills and Competencies
- Fluent in Arabic with superior written and verbal communication abilities.
- Proficiency in English is desirable.
- Strong computer skills, including advanced knowledge of MS Office (Word, Excel, Outlook, PowerPoint) and PDF editing tools.
- Experience using Document Management Systems such as Aconex, SharePoint, EDMS, Primavera or comparable platforms.
- Outstanding organizational capabilities with meticulous attention to detail.
- Ability to multitask effectively and perform under pressure.
- Deep understanding of document control principles and industry standards.
- Capacity to maintain strict confidentiality while managing sensitive information.
Qualifications
- Diploma or Bachelor's degree in Business Administration, Engineering, Information Technology, or related disciplines.
- At least five years' experience as a Document Controller in sectors including engineering, construction, consulting, or corporate settings.
- Previous involvement with government entities such as Amana or municipalities is highly preferred.
- Experience working within Saudi Arabia is considered beneficial.
