Job Overview
The Crew Scheduling Specialist utilizes their foundational expertise in crew scheduling to manage a variety of straightforward scheduling challenges. With moderate guidance from colleagues and leadership, they analyze potential solutions following established procedures, gaining knowledge of the company’s operations, processes, and clients. This role involves applying operational understanding and judgment to resolve scheduling issues effectively.
Key Responsibilities
- Manage offshore crew recruitment by coordinating interviews, reference checks, medical clearances, personal protective equipment issuance, payroll, and onboarding documentation, adhering to company HR policies and procedures.
- Plan and coordinate COVID-19 management and crew compliance measures.
- Develop, update, and maintain the offshore personnel logistics roster.
- Arrange travel logistics for offshore personnel including helicopter bookings, accommodation, transfers, and associated movements.
- Coordinate logistics for international vessel crew.
- Organize travel arrangements for crew mobilizing to and from project sites.
- Collaborate with Offshore Administrators and Crewing and Logistics teams to accurately track all crew movements.
- Work with subcontractors to secure approval for subcontract personnel, organize necessary project training, maintain rosters, and manage travel and logistics.
- Maintain current offshore HR records including visa databases, tax spreadsheets, and employee lists.
- Manage the distribution of PPE to personnel.
- Keep the MAPS personnel logistics database updated.
- Process visa applications for international offshore personnel.
- Coordinate tax briefings and tax support services for offshore workers.
- Manage logistics for cyclone evacuation when necessary.
- Interpret and enforce company HR policies, procedures, and initiatives.
- Collect and report data concerning contractor and subcontractor personnel movements.
- Interpret offshore craft certification documentation.
- Plan and coordinate training and familiarization logistics for pre-project preparation.
- Liaise with Training and HSES Departments to ensure project training and competency logistics are arranged before personnel mobilize offshore.
- Assist with project inductions and general administrative tasks.
- Prepare timesheets for offshore personnel temporarily assigned to onshore duties in remote locations.
Qualifications
- Diploma or equivalent practical experience.
- At least 3 years of experience in HR, crewing, and logistics roles.
- Experience in offshore construction within the oil and gas industry is mandatory.
- Strong interpersonal and communication capabilities.
- Familiarity with online crew management systems.
