Role Overview
We are seeking a Payroll Services Representative to join Fraser Health's Payroll Services team in New Westminster, BC. This full-time position involves managing payroll processing, ledger account analysis, data reconciliation, and resolving discrepancies. The role includes sustaining daily operations of various accounts such as WorkSafe BC, Health Benefit Trust, Employer Health Tax, Pension Corporation, Pacific Blue Cross, and union billings. You will actively participate in bi-weekly payroll processing and handle manual payments and corrective actions as needed. The position requires onsite presence and a 37.5-hour workweek.
Key Responsibilities
- Conduct detailed account analyses and oversee daily transactions for assigned accounts including WorkSafe BC, Health Benefit Trust, EHT, Pension Corporation, Pacific Blue Cross, and union billings.
- Reconcile accounts by scrutinizing documents, analyzing data, and resolving discrepancies through corrective journal entries and required forms aligned with general ledger balances.
- Verify incoming payments from benefit carriers for accuracy and completeness, investigating and addressing discrepancies with relevant departments.
- Manage bi-weekly payroll runs, including file extraction, error report review, corrections, and electronic submission to banking institutions for direct deposits.
- Calculate and prepare retroactive payments, adjustments, and manual cheque issuance upon authorized approval.
- Resolve issues related to direct deposit rejections due to invalid or closed accounts, issuing replacement payments as necessary.
- Generate customized reports using payroll data exported to Microsoft Access or Excel.
- Monitor recoverable amounts billed to unions for hours worked, ensuring payments align with invoices and investigating discrepancies.
- Deliver training sessions for timekeeping personnel to ensure accuracy and prevent overpayments.
- Perform additional related duties as required.
Qualifications
- Completion of Grade 12 education.
- Successful graduation from a recognized payroll program approved by National Payroll Institute or Canadian Payroll Association.
- Minimum of three years recent, relevant payroll experience or equivalent combination of education, training, and experience.
- Typing proficiency of 35 words per minute.
- Effective verbal and written communication skills.
- Capability to interact professionally and maintain positive working relationships.
- Physical ability to fulfill job responsibilities.
- Organizational and supervisory aptitude.
- Skillful operation of payroll-related technology and equipment.
Salary and Work Schedule
The hourly salary is set at CAD 31.64. The position follows a standard 37.5-hour workweek and requires attendance at the New Westminster office.
