Primary Responsibilities
- Facilitate clear and efficient communication flow between the Housekeeping Department and other hotel departments including Front Office, Engineering, and Royal Service.
- Respond promptly to telephone calls, answering within three rings using the hotel’s designated phone etiquette and ensuring consistent follow-up actions.
- Document all phone interactions comprehensively in the housekeeping coordinator’s log or enter details into Royal Service software for tracking purposes.
- Address guests by name during conversations to enhance guest relations.
- Operate hospitality management systems such as OPERA and Swiss/Royal Service proficiently.
- Maintain accurate records of guest loan items (e.g., extra chairs, foam pillows), tracking these assets within OPERA.
- Relay information regarding blocked and VIP rooms, along with their specific preferences, to Team Leaders in a timely manner.
- Oversee house and room attendants to ensure guest requests are fulfilled efficiently.
- Monitor room statuses vigilantly to guarantee the availability of clean rooms for arriving guests.
- Manage the security and accountability of departmental keys, mobi-talks, and iPhones, including conducting regular inventories and reporting any losses immediately to the Assistant Manager.
- Assist in distributing keys, mobiles, or documents to staff as required.
- Handle all lost and found inquiries promptly, recording items properly and storing them in clearly labeled boxes to facilitate retrieval.
- Communicate any guest complaints pertaining to lost items to the Security Department and Duty Manager, especially if compensation considerations arise.
- Ensure secure access and orderly maintenance of the lost & found room, including disposing of items past their retention period.
- Adhere to safe working practices and emergency protocols diligently.
- Contribute as an active participant in departmental leadership initiatives.
- Maintain strict confidentiality and discretion concerning guest information.
- Perform additional duties as assigned by hotel management and housekeeping leadership.
