The Facilities Executive will oversee efficient, safe, and cost-effective management of site facilities and associated support services. This encompasses office cleaning, catering, contractor oversight, and regulatory adherence, ensuring seamless service standards and maintaining operational continuity.
Key Responsibilities
- Oversee daily facility operations covering all buildings and site services to maintain safety, functionality, and compliance.
- Coordinate scheduled and unplanned maintenance to reduce operational disruptions.
- Supervise outsourced service providers including cleaning, security, pest control, and landscaping, ensuring service levels meet agreements.
- Handle and resolve facility-related user concerns promptly, tracking complaints daily and performing regular Gemba walks to identify focus areas.
- Produce weekly facilities reports with key performance indicators and upcoming focus points.
- Lead accountability efforts with contractors via performance management approaches and data-driven decision-making optimizing costs and facility reliability.
- Enforce a rigorous safety and compliance culture, exemplifying BAT values and high-performance principles through teamwork, continuous development, and personal discipline.
- Manage third-party contractors ensuring adherence to contracts and service level agreements, conduct performance reviews, and support vendor selection and contract negotiations.
- Oversee timely issuance and tracking of purchase orders, service requests, goods received notes, and ensure prompt vendor payments without overdue invoices.
- Conduct training for contractors on work procedures and continuous improvement methodologies.
- Ensure all facility operations comply with environmental, health, and safety standards and statutory regulations by carrying out inspections, audits, fire safety checks, and risk assessments.
- Support incident investigations and implement corrective actions related to facilities, including company event setups.
- Monitor and control operational expenses for facilities within budget, initiate cost-saving opportunities without sacrificing service quality, and contribute to capital expenditure planning and execution.
- Maintain an up-to-date asset register and lifecycle plans for infrastructure, promoting preventive maintenance and facility performance enhancements.
- Serve as the primary contact for site facility matters, collaborating with internal stakeholders and external partners like local authorities and contractors to maintain high service continuity.
- Drive the adoption of best practices in facilities management, including policy development, SOP enforcement, KPI monitoring, and digitalization initiatives.
Required Qualifications and Experience
- Degree in STEM-related disciplines such as Engineering, Facilities Management, or Spatial Planning.
- Practical knowledge of Integrated Work Systems (IWS) methodology.
- Experience in managing facility operations and contractor services.
- Competent understanding of environmental health and safety regulations and standards.
- Strong interpersonal, communication, and influencing capabilities.
