About the Position
Join Cushman & Wakefield as a Facilities Coordinator based in Wellington, delivering day-to-day facilities management services for a varied portfolio that includes prominent government agencies and commercial clients. This role is fully onsite and requires close collaboration with clients, contractors, and internal teams to ensure efficient service delivery with high standards.
Key Responsibilities
- Coordinate daily facilities and maintenance tasks across multiple sites.
- Communicate effectively with contractors, suppliers, clients, and internal departments.
- Monitor service performance to ensure compliance with KPIs and contract obligations.
- Manage work orders, handle service requests, and oversee escalations.
- Assist in contractor onboarding, accreditation, and compliance monitoring.
- Maintain precise documentation, records, and client files.
- Support invoicing operations, manage work-in-progress, and resolve invoice-related queries.
- Prepare operational reports and analyze data as needed.
- Assist with planned and reactive maintenance schedules.
- Contribute to continuous improvement efforts and streamline processes.
Candidate Profile
- Approximately one year of experience in facilities coordination, property administration, or service coordination is advantageous.
- Strong organizational and administrative abilities with meticulous attention to detail.
- Capability to handle multiple tasks effectively and meet deadlines.
- Excellent customer service and communication skills.
- Confidence and experience working alongside contractors, suppliers, and internal stakeholders.
- Proactive problem-solving approach and ability to work independently.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Familiarity with invoicing, purchase order processes, work order systems, or JDE is a plus.
- Legal authorization to work in New Zealand is required.
