Role Overview

  • Uphold the Hotel's Code of Conduct consistently.
  • Comply fully with departmental policies, service procedures, and standards.
  • Actively generate event leads from both local and international corporate clients and respond efficiently to inbound event inquiries by phone, email, and walk-ins, including referrals from the Assistant Director of Groups, Catering & Events.
  • Expand corporate accounts by conducting local travel and promoting business across all revenue channels in the hotel.
  • Precisely determine event specifics such as dates, function spaces, anticipated attendance, flow, budget, and client expectations to secure bookings with focus on maximizing incremental revenue through upselling.
  • Enhance event revenue across all food and beverage outlets by boosting average spend and promoting additional services and meeting room rentals.
  • Conduct site inspections for prospective clients, including weekends if necessary.
  • Maintain thorough and current records in the Delphi system covering bookings, contacts, and revenue.
  • Coordinate detailed event planning including Banquet Event Orders, group resumes, and floor plans, ensuring all hotel departments are informed and prepared.
  • Communicate promptly any event changes to operational teams to guarantee smooth service delivery.
  • Manage invoicing, deposit collection, and final account settlements as per event contracts.
  • Develop client relationships to foster repeat events business and actively negotiate deals.
  • Participate in meetings related to Banquet Event Orders and group resume planning as required.
  • Facilitate communication pre- and post-event to ensure satisfaction.
  • Oversee deposit schedules and maintain payment histories accurately in Delphi.
  • Create and manage payment memos and process deposits, issuing receipts to clients.
  • Work closely with Finance regarding event billing matters and payment follow-ups.
  • Review post-event Micros checks daily to verify correct charges and align consumption with billing systems.
  • Generate comprehensive final client invoices encompassing event services and related charges such as accommodation and transportation.
  • Process final payments and assist in collection efforts.
  • Create and administer purchase order requests for event requirements.
  • Calculate commissions related to food, beverage, and accommodation sales and maintain an organized tracker.
  • Handle special orders for events including rental items and specialized meals, ensuring payment processing is completed accordingly.
  • Support the Assistant Director of Groups, Catering & Events with weekly pace reports and monthly forecasts.
  • Consistently deliver professional, warm, and engaging service in line with brand standards.
  • Maintain exemplary personal appearance and adhere to the grooming standards of Rosewood Hotels and Resorts.
  • Fully understand relevant policies including menus, pricing, food safety, cancellations, guarantees, and payments.
  • Propose innovative ideas and improvements to optimize departmental functions.
  • Perform additional reasonable duties assigned by the Assistant Director of Groups, Catering & Events.
  • Be flexible to work outside usual office hours including weekends as necessary.
