Role Overview

The Document Controller plays a key role in managing the project Document Management System and Digital Field Tool. This position involves executing the Information Management strategy, supporting and training project users, and ensuring compliance with Digital Project Delivery procedures and standards such as ISO 19650, BS 1192, and PAS 1192.

Primary Responsibilities

  • Validate, organize, and manage all incoming and outgoing project documents ensuring proper receipt, classification, verification, registration, distribution, and retrieval.
  • Maintain centralized site files, including uncontrolled drawings, registers, and collate important files related to Operation & Maintenance, Health & Safety, Quality, Environmental, and Building Control Amendment Regulations (BCAR).
  • Set up and manage change control processes within the Common Data Environment (CDE).
  • Develop and configure distribution matrices, status reports, and workflows for submissions like samples, Technical Queries (TQs), and Requests for Information (RFIs) adhering to project requirements.
  • Participate in project meetings engaging with team members and stakeholders regarding document and information management matters.
  • Proactively identify opportunities to improve workflows, reduce waste and mitigate risks associated with document management.
  • Provide coverage for other document controllers as needed during absences.
  • Support adherence to company-wide Digital Project Delivery procedures and standards alongside the Information Systems Manager.
  • Conduct training sessions and support new and existing users on project management tools such as Viewpoint For Projects (VFP) and Field View (FV).
  • Serve as the central point of contact for coaching project users, including clients, design teams, subcontractors, and supply chain partners.
  • Assist with developing project file naming conventions and workflows guided by the Information Systems Manager.
  • Continuously guide teams to maintain strict compliance with Digital Project Delivery protocols.

Qualifications and Skills

  • Experience handling projects with large volumes of data from diverse sources.
  • Proficient communication skills to train and align all stakeholders with Digital Project Delivery protocols.
  • Familiarity working with multidisciplinary design teams, clients, subcontractors, and supply chains.
  • Capability and eagerness to train, mentor, and support team members.
  • Knowledge of file naming conventions and industry standards.
  • Strong organizational skills including prioritization, multitasking, and time management.
  • Analytical mindset, meticulous attention to detail, and self-motivation.
  • Excellent preparation, formatting, and troubleshooting skills for project documents.
  • Advanced proficiency with Microsoft Office Suite.
  • Understanding of ISO 19650, BS 1192, and PAS 1192 standards.

Preferred Experience

  • Interest in project delivery processes, project administration, and the construction industry at large.
  • Prior experience in infrastructure projects is advantageous.
  • Experience configuring and managing systems in compliance with ISO 19650.
  • Advanced use of digital field tools such as Field View (FV) or Dalux.
