Role Overview
This role offers the chance to influence how Hamilton City Council manages its critical asset: information. You will engage with Microsoft 365, SharePoint Online, information governance, and lead digital transformation efforts to foster a contemporary, compliant, and efficient digital workspace for staff and the wider community.
Key Responsibilities
- Deliver expert guidance and operational assistance related to Microsoft 365, especially SharePoint Online, ensuring adherence to best practices in information management.
- Assist staff in organizing, storing, and retrieving information effectively across the Council’s digital platforms.
- Support and maintain information governance measures including classification, metadata management, retention, and disposal protocols.
- Help develop, manage, and enhance SharePoint Online’s information architecture and content governance standards.
- Continuously monitor information management activities to detect risks, address gaps, and pursue improvement opportunities.
- Ensure compliance with relevant legislation such as the Public Records Act and Privacy Act, alongside other regulatory information management requirements.
- Advocate for consistent use of information management policies and governance frameworks throughout the organisation.
- Contribute to the adoption and governance of Microsoft 365 and other modern workplace technologies.
- Lead initiatives aimed at enhancing the quality, discoverability, and accessibility of organisational information.
- Prepare the Council’s information systems for future advancements including automation, enterprise search, knowledge management, and AI-enabled services by improving data structure and governance.
Candidate Profile
- Possess 2 to 3 years’ relevant experience in fields such as information management, records management, or administration of Microsoft 365 and SharePoint.
- Proven expertise with Microsoft 365 suite, particularly SharePoint Online, Teams, and OneDrive.
- Solid understanding of SharePoint Online information architecture, governance principles for metadata and document management.
- Experience handling information within medium to large organisations.
- Knowledgeable about information governance, records management, and information lifecycle concepts.
- Familiarity with legislative and regulatory information management, including privacy and records compliance.
- Strong analytical abilities coupled with problem-solving skills to identify and address issues effectively.
- Excellent communication capabilities and experience engaging with diverse stakeholders.
- Meticulous attention to detail with a strong commitment to upholding high information quality standards.
- Capable of working autonomously while collaborating across multiple teams.
Preferred Attributes
- Experience with Microsoft Purview and information governance functionalities.
- Background supporting SharePoint Online modernization, content remediation or migrations.
- Knowledge of Public Records Act 2005, Privacy Act 2020, and Local Government Official Information and Meetings Act (LGOIMA).
- Experience working in local government or similarly complex organisational environments.
- Understanding foundational information requirements supporting automation, enterprise search, knowledge management, and AI solutions.

Remuneration: Approximately NZD 90,000, subject to skills and experience.
