Job description
Position Overview
We are seeking a Document Controller based in Riyadh, Saudi Arabia, with extensive experience in document management within the construction industry. This role requires handling comprehensive documentation throughout the full lifecycle of construction projects while ensuring organized, accurate, and timely management of records and reports.
Qualifications
- Diploma or Bachelor's degree in Business Administration or a related discipline
- Construction industry qualification or at least 5 years of experience in Document Control
- Previous work experience in GCC or Saudi Arabia is mandatory
- Strong knowledge across main disciplines and full project lifecycle
- Familiarity with various document management platforms, especially Unifier, is preferred
Skills and Proficiencies
- Proficient in MS Office suite including Word, Excel, and PowerPoint
- Comprehensive understanding and application of Aconex and Unifier systems
Primary Duties
- Receive, register, and maintain all incoming and outgoing correspondence, submittals, drawings, and project-related documents using designated registers
- Update and maintain project logs and provide data for report generation
- Implement and manage efficient project filing and retrieval systems adhering to project requirements
- Assist in drafting outgoing communication such as letters, internal memos, reports, submittals, as well as dispatch and filing activities
- Prepare and distribute project meeting minutes, ensuring proper filing and circulation
- Follow up on outstanding correspondence and submittals with site supervision teams, issuing reminders as necessary
- Coordinate with site supervision staff to collect data that supports report preparation
- Support in preparation and maintenance of QA documents and associated logs
- Manage and log electronic communications and documents related to the project
- Maintain and regularly update the project site notice board with relevant certificates, policy statements, and announcements
- Keep updated logs for “Record Copy” and “Coordination Copy” of all contracts, drawings, specifications, and submittals
- Process reviewed and returned submittals by preparing duplicates and returning them to contractors and clients
- Apply appropriate stamps on copies and file them according to the Project Quality Plan (PQP) system standards
- Produce weekly and monthly reports outlining all outstanding submittals for submission to the Resident Engineer (RE) and Project Team
- Maintain backup soft copies of project documentation on a daily, weekly, and monthly basis
- Identify potential safety issues within the site office and notify the RE or Site Health, Safety, and Environment (HSE) team
- Complete archiving and electronic archiving of project documents at close-out and maintain records accordingly
- Coordinate administrative activities including handling staff timesheets, leave applications, project-specific stamps, letterheads, and other site staff administrative functions in collaboration with the RE
