About Ankura and Role Overview
Ankura is a dynamic firm committed to innovation and growth, establishing its first Saudi Arabian office in Riyadh in 2023. The Senior Associate in Operations & Workplace Services will provide vital operational, administrative, and business support specifically for Ankura's KSA Regional Headquarters (RHQ), including support to the RHQ Head, executive team, and employees. This position also encompasses aiding the broader commercial entity to ensure operational coherence across Ankura's Saudi activities.
Key Responsibilities
- Deliver operational and administrative assistance to the RHQ, including managing schedules, prioritizing appointments, coordinating meetings, and ensuring timely completion of critical deliverables such as presentations and filings.
- Create an employee-focused environment by anticipating needs and facilitating efficient operations for senior professionals and client service teams.
- Draft, revise, and format documents and communications, ensuring professionalism in tone and accuracy.
- Support marketing communications and business development efforts by coordinating materials, formatting presentations, managing proposal submissions, and maintaining client, supplier, and government-related information.
- Assist in financial processes including accounts receivable/payable, invoice processing, expense management, vendor documentation, billing coordination, and time and expense tracking.
- Facilitate supplier registration and KYC documentation for client and government portals, maintain current profiles, and coordinate with internal teams on compliance and documentation.
- Support regulatory compliance activities by liaising with legal, finance, and administrative teams to manage filings and maintain office documentation and relationships with authorities and service providers.
- Oversee workplace and office operations, including reception duties, facilities management, supply procurement, travel arrangements, and employee onboarding support.
- Utilize and promote firmwide technology platforms such as Workday, Intapp, Salesforce, Microsoft Office suite, and collaborate on process improvements to enhance service delivery.
Candidate Requirements
- Fluency in both English and Arabic is mandatory.
- A degree in a related field is required.
- Proven experience in office management, executive or operational support within a professional services or multinational environment, preferably in Saudi Arabia.
- Capability to support senior and executive stakeholders with a strong understanding of coordination across multiple time zones.
- Advanced proficiency in Microsoft Office applications; familiarity with Workday, Intapp, Salesforce, or similar systems is advantageous.
- Experience handling financial administrative tasks including invoice processing, expense reporting, and vendor management.
- Knowledge of supplier registration, KYC processes, and managing government or client portals.
- Desirable exposure to business development support, marketing communications, and project management.
- Outstanding organizational, communication, and interpersonal skills with an emphasis on discretion, problem-solving, teamwork, and initiative.
