Role Overview

The Document Controller will report directly to the Head of Department and will be stationed in Abu Dhabi, UAE. The main responsibility is to oversee the management, control, and upkeep of all engineering project documentation, ensuring adherence to company, client, and regulatory standards throughout complex multi-discipline EPC projects.

Key Responsibilities

  • Manage the proper receipt, coding, versioning, and filing of incoming and outgoing documents within the Document Management System (DMS).
  • Administer DMS platforms including Aconex, EDMS, SharePoint, SmartPlant, or related systems: upload, register, track, and archive documents accordingly.
  • Control engineering deliverables such as vendor documents, drawings, datasheets, procedures, and technical reports spanning multiple disciplines.
  • Prepare and distribute transmittals ensuring timely delivery to internal teams, contractors, and clients while monitoring receipt acknowledgments.
  • Maintain strict version control to preserve document history and avoid use of outdated materials.
  • Ensure all documentation complies with project specifications, EPC procedures, ISO standards, and client requirements (including ADNOC, Aramco, Shell).
  • Support audit preparedness by maintaining comprehensive, accurate, and traceable document records.
  • Coordinate with engineering, procurement, construction, QA/QC, and subcontractors to resolve any document-related issues ensuring smooth workflow.
  • Generate reports including logs, status updates, overdue notices, and document registers for management and project stakeholders.
  • Manage project close-out activities, ensuring final documentation is complete, properly archived, and securely stored for long term.

Qualifications and Experience

  • Diploma or Bachelor’s degree in Business Administration or a related discipline.
  • Between 5 and 7 years of experience working in Oil & Gas, EPC, or engineering project environments.
  • Strong understanding of engineering documentation workflows and multidisciplinary project deliverables.
  • Proficient in using Aconex, EDMS, SmartPlant, SharePoint, or comparable document management systems.
  • Exceptional organizational, communication skills, and meticulous attention to detail.
  • Ability to work efficiently under pressure handling large volumes of documentation.

Preferred Skills

  • Knowledge of EPC project stages including FEED, Detailed Engineering, Procurement, Construction, and Commissioning.
  • Insight into vendor documentation cycles and technical deliverable management.
  • Excellent coordination capabilities with engineering and project management teams.
