About The Role
We are seeking a detail-oriented and commercially savvy Capital Contracts Coordinator to join the Major Works team based in Auckland. In this role, you will collaborate closely with Project Managers to deliver contract administration, commercial coordination, and project support for large capital and zone substation projects. Your efforts will ensure that contract documents, procurement processes, subcontractor details, project records, and commercial reports are consistently accurate and current.
Candidates should have demonstrated experience in construction project coordination and administration.
Key Responsibilities
- Provide contract administration support throughout the lifecycle of projects.
- Maintain and update project registers, documentation, and correspondence.
- Coordinate procurement activities and subcontractor documentation management.
- Assist in managing contract notices, claims, variations, extensions of time, and payment claims.
- Track project expenditures, commitments, purchase orders, invoices, and subcontractor claims.
- Support periodic reporting including work-in-progress (WIP), forecasts, and budget monitoring on a weekly and monthly basis.
- Organize meeting agendas, compile minutes, track actions, and conduct necessary follow-ups.
- Maintain records related to health, safety, quality, environment (HSQE), inspections, and commissioning.
- Support project handovers, manage defects, and prepare close-out documentation.
- Identify missing information, overdue tasks, or commercial risks early, and escalate issues promptly.
About You
- Highly organized with keen attention to detail and the ability to manage multiple projects, deadlines, and stakeholders simultaneously.
- Effective and clear communicator who proactively follows up on actions, aiding project teams in managing commercial and contractual obligations.
- Previous experience in contract, commercial, or project administration within construction, utilities, or infrastructure sectors.
- Holds a relevant qualification such as contract administration, construction management, or project management.
- Familiarity with construction contract forms, preferably NZS 3910 or equivalent.
- Commercial acumen related to purchase orders, invoices, WIP, subcontractor claims, and contract variations.
- Strong document control expertise, with solid reporting and record-keeping capabilities.
- Proficient in Microsoft Office applications and experienced in using project reporting tools, registers, and document management systems.
- Excellent verbal and written communication skills.
- Capable of early issue identification and appropriate escalation.
- Collaborative mindset, supporting Project Managers, field teams, clients, consultants, and subcontractors effectively.
- Committed to upholding health, safety, quality, and environmental standards.
- Possession of a full New Zealand Class 1 Driver Licence is preferred.
