Workshop Coordinator (FENZ Fleet)

Role Overview

Take charge of coordinating Fire and Emergency New Zealand's fleet vehicles through their workshop to ensure they remain ready, safe, and compliant for urgent response duties.

Key Responsibilities

• Manage the booking, scheduling, and workflow of FENZ vehicles via the workshop.
• Plan and prioritize servicing, warranty tasks, repairs, and compliance activities.
• Track job progress and provide updates to FENZ contacts and internal groups.
• Serve as the central communication link for FENZ fleet representatives to foster strong collaborative relations.
• Arrange Certificate of Fitness (COF) inspections, certifications, preventative maintenance, and routine servicing.
• Collaborate with technicians, parts suppliers, and subcontractors to limit vehicle downtime.
• Maintain accurate workshop documents, service histories, and warranty claims.
• Monitor turnaround times, vehicle readiness, and agreed service standards.
• Prepare reports on fleet and workshop performance and help drive continuous process improvements.
• Partner with the Workshop Manager to spot efficiency and fleet availability enhancements.
• Promote adherence to health, safety, compliance, and quality standards.

Candidate Profile and Skills

• Well-organized, proactive, and confident in customer and stakeholder engagement.
• Experience in workshop administration, service advising, fleet coordination, or automotive operations is preferred.
• Strong planning, scheduling, and organizational talent.
• Effective communication paired with excellent customer service abilities.
• Detail-oriented with high accuracy levels.
• Ability to prioritize tasks dynamically in a fast-paced workshop.
• Competent in Microsoft Office and workshop management software.
• Practical problem-solving mindset focused on maintaining workflow during priority shifts.

Desirable Extra Experience

• Background in emergency services or government fleet management.
• Exposure to heavy vehicle or commercial transport sectors.
• Understanding of vehicle servicing, maintenance schedules, and compliance standards.
• Familiarity with COF, certification, and fleet upkeep processes.
• Experience using dealership or fleet maintenance management systems.
