About the Business Unit
The Global Delivery Services Centre (GDSC) is a vital segment of Mott MacDonald, focusing on improving project execution worldwide. It encompasses both technical and digital expertise, adhering to international design standards and regulations. The transportation unit within GDSC seeks a WIN Administrator to assist the team servicing Europe, the UK, and North America.
Role Overview and Responsibilities
- Manage and distribute communication received through shared team inboxes and client portals.
- Possess knowledge of UK geography relevant to project opportunities.
- Identify and share new business opportunities with appropriate stakeholders.
- Register expressions of interest, exchange relevant documentation, export questionnaires, and verify submission deliverables for bids.
- Maintain the bid register for transportation sector tenders indicating registered interests.
- Submit technical inquiries on behalf of the bid team through client portals promptly.
- Track the status of ongoing bids, updating the bid register accordingly.
- Facilitate timely bid submissions by monitoring deadlines and informing teams about portal requirements.
- Handle submissions and updates for portal lists, frameworks, and distribution guidelines for the transportation sector.
- Follow up on client queries after submission deadlines to ensure timely responses.
- Comply with company policies, systems, and processes governing bid submissions and documentation.
- Operate company CRM software, Connect Clients.
- Assist in bid preparation by formatting proposal templates, CVs, and case studies aligning with company style guides.
- Respond to expressions of interest and pre-qualification questionnaires using standard content.
- Coordinate inputs from various contributors and maintain knowledge bases with correct metadata tagging and QA processes.
- Identify knowledge inconsistencies and participate actively in team meetings to enhance bidding processes.
- Perform additional administrative duties as required.
Candidate Profile and Requirements
- Interest in diverse experiences typical of a large consultancy environment.
- Meticulous attention to detail and ability to handle vast amounts of information and correspondence.
- Capability to multitask and prioritize competing bid deadlines effectively.
- Flexible and resilient under pressure, demonstrating initiative and ownership over assigned tasks.
- Excellent verbal and written communication skills in English, adaptable to various organizational levels.
- Proficient with computer applications and Microsoft 365, with basic familiarity with AI tools like Copilot.
- 3 to 5 years’ experience in bid management, pursuit activities, or proposal administration.
- Graduate degree in any discipline is required.
Preferred Qualifications
- Strong administrative skills managing high volumes of emails.
- Experience working on proposals, particularly within global technical consulting firms.
- Familiarity with UK public sector procurement processes and client portal management.
- Membership in the Association of Proposal Management Professionals (APMP) is advantageous.

Additional Information
Employment is contingent upon valid Right to Work documentation in India (e.g., Passport, Voter ID, Birth Certificate), which will be verified during recruitment. The position is permanent and based across Mumbai, Ahmedabad, or Noida.
