Role Overview
The Technical Office Manager is essential in aligning efforts between clients, design teams, fabrication units, and installation groups within the marble industry. This role ensures seamless progress from initial estimations, material selections, technical drawings, through to fabrication and final installation stages. It demands a fusion of strong office management proficiency with in-depth knowledge of natural stone manufacturing, CAD drawing expertise, and project management capabilities. Excellent communication skills are vital to effectively coordinate between clients, production, installation, and administrative teams.
Key Responsibilities
- Lead and supervise the Drafting and Estimating team responsible for producing shop drawings, CAD designs, and technical specifications for marble cutting and CNC operations.
- Manage project timelines, tracking progress from field templating to onsite installation, ensuring all departments meet deadlines.
- Conduct quality checks on technical drawings and specifications to confirm alignment with client needs before fabrication.
- Serve as the primary contact for resolving technical issues among architects, designers, installers, and fabrication teams.
- Oversee material procurement and inventory control for stone slabs and blocks.
- Enhance office workflows by creating and implementing efficient filing, documentation, scheduling, and operational procedures.
- Handle financial functions including budgeting, invoice processing, job costing, and customer billing.
- Supervise administrative personnel, coordinate office schedules, and assist HR with employee onboarding.
- Maintain and update tender logs with estimated submission dates ensuring timely communication with sales and clients.
- Manage RFQ packages, prepare precise Bills of Quantities (BOQs), price breakdowns, project briefs, and suitable material selections, guaranteeing compliance with project specifications.
- Coordinate with procurement and warehouse teams to cross-verify material specifications and propose alternative solutions or value engineering options.
- Keep current material price lists in collaboration with procurement, price Variation Orders (VOs), and issue formal price quotations including estimated project completion timelines.
- Prepare comprehensive weekly and monthly progress reports and dashboards.
- Collaborate with all departments to ensure cost updates are integrated into new pricing packages.
- Issue and approve various technical documents such as PQDs, MARs, MS, test reports, structural calculations, VOs, notices, and document submittals.
- Draft and approve workshop and as-built drawings, sketches, proposals, and presentations.
- Issue detailed cutting lists and job orders for production.
- Jointly select materials with warehouse and factory managers and manage material requisitions and notices for VOs.
- Coordinate technical interactions among site, factory, and accounting teams.
- Follow up with outsourced third-party resources regarding test reports, structural calculations, and accessory suppliers in collaboration with QA/QC and procurement teams.
- Schedule awarded and pre-awarded projects in conjunction with related departments during the tender phase.
- Develop innovative design patterns to reuse waste and existing stock materials.
- Continuously update showroom designs in partnership with sales and production teams.
- Perform quantity surveyor tasks including RFQ packages management, BOQ creation accuracy, variation orders and claims identification and closure, site compliance surveys, and issuance of interim payment certificates to clients and subcontractors.

- Shorten lead times for package releases beyond planned dates.
