Job description

Role Summary

The Site Supervisor plays a pivotal role in managing all on-site fit-out tasks, ensuring projects are completed safely, punctually, within budget, and strictly meet approved plans, material specifications, and quality standards. This role involves active collaboration with subcontractors, suppliers, and diverse project stakeholders for smooth project execution and successful project handover.

Site Execution & Supervision

  • Oversee daily site operations ensuring adherence to approved drawings and specifications.
  • Perform daily site inspections and accurately layout interior finish markings.
  • Delegate and organize tasks among foremen, chargehands, and subcontractors efficiently.
  • Track project progress against schedules and enforce corrective measures as needed.

Planning & Reporting

  • Develop detailed work schedules and project timelines using MS Project.
  • Keep meticulous daily site reports including progress notes and photographic evidence.
  • Provide regular updates on progress, risks, and issues to the Project Manager.
  • Ensure resource productivity and optimize their utilization.

Coordination & Stakeholder Engagement

  • Facilitate communication and coordination among civil, joinery, MEP, and finishing trades.
  • Manage relationships with subcontractors, suppliers, consultants, mall authorities, landlords, and clients.
  • Participate in site meetings ensuring timely resolution of action items.
  • Liaise with factory teams for production and delivery schedules of joinery components.

Quality Assurance & Control

  • Confirm all work aligns with approved plans, materials, and construction methods.
  • Coordinate inspections and approvals like WIRs and MIRs alongside QA/QC teams.
  • Detect and document defects, create snag lists, and guarantee their prompt rectification.
  • Oversee the closure of Non-Conformance Reports (NCRs) with relevant teams.

Health, Safety & Environment (HSE)

  • Ensure full compliance with HSE policies, procedures, and local regulations.
  • Conduct safety briefings and reinforce safe work habits on the site.
  • Monitor correct usage of personal protective equipment (PPE) and maintain safe conditions.
  • Report and escalate any incidents or unsafe situations without delay.

Material & Logistics Management

  • Supervise material deliveries, storage, and usage ensuring conformity with approved submittals.
  • Reduce material waste and prevent damage on-site.
  • Coordinate logistics and site access protocols effectively.

Permits & Authority Coordination

  • Obtain all necessary permits prior to work commencement.
  • Collaborate with authorities, mall management, and consultants for required inspections and approvals.

Commercial & Cost Monitoring

  • Validate subcontractor work volumes and progress accurately.
  • Support cost management by reducing rework and avoiding delays.
  • Review staff timesheets and workforce deployment.

Documentation & Records

  • Maintain thorough documentation including drawings, RFIs, approvals, site instructions, and more.
  • Ensure all project documentation is current and easily accessible.

Handover & Close-Out

  • Create and manage snag lists ensuring all issues are resolved before handover.
  • Assist with testing, commissioning, and submission of Operation & Maintenance manuals.
  • Prepare final project completion and handover documentation.
  • Support the final inspection process and formal client handover.

Risk & Issue Management

  • Identify potential project risks and proactively report them to the Project Manager.
  • Implement mitigation strategies to prevent schedule or cost impact.

Candidate Experience & Skills

  • 5 to 8 years’ experience within the fit-out industry with reputable contractors.
  • Strong understanding of fit-out works, construction sequencing, and materials.
  • Proficiency in reading and interpreting construction drawings including shop and IFC drawings.
  • Competent with AutoCAD, MS Project, and MS Office suite.
