Role Overview

We are seeking a proactive Personal Assistant who values innovation, efficiency, and ongoing improvement. You will be instrumental in supporting General Managers and Heads of Department, ensuring smooth communication and providing a professional and responsive service to both internal and external stakeholders.

Key Responsibilities

  • Offer anticipatory support to Heads of Department by handling administrative tasks, organizing schedules, and coordinating activities allowing them to concentrate on strategic initiatives.
  • Efficiently manage emails, calendars, events, meetings, and team celebrations ensuring seamless logistics and excellent participant experiences.
  • Serve as a crucial liaison for the Leadership Team collaborating with Executive Assistants and Personal Assistants to maintain clear communication and coordination across departments.
  • Encourage a connected team culture through management of internal communication, team rituals, and recognition programs that foster collaboration and momentum.
  • Utilize AI and automation tools to optimize and modernize traditional Personal Assistant responsibilities, improving efficiency and reducing administrative workload.

Candidate Profile

  • Exemplifies ownership and resilience by anticipating leadership needs, showing initiative, and thriving in a dynamic and demanding environment.
  • Experienced in organizing events and team activities with attention to detail to create smooth and engaging experiences.
  • Skilled in administrative duties and time management, capable of managing complex calendars and logistics under pressure and shifting priorities with composure.
  • Adept at embracing AI-driven and digital tools to refine workflows, promote smart processes, and foster continuous improvements.
  • Proven ability to cultivate trust and cooperation at all organizational levels through effective communication and influence without formal authority.
  • Adaptable to change, maintaining calmness under pressure with a positive and solution-oriented approach.
