Job description
Position Overview
We are seeking a skilled Payroll Specialist to manage payroll activities for a workforce spanning multiple states, based in Shreveport, Louisiana. This role is key in ensuring precise and timely salary disbursements, compliance with regulations, and acting as a reliable point of contact for employee payroll inquiries. The successful candidate will bring solid expertise in full payroll cycles, payroll taxation, and data accuracy within a dynamic environment.
Key Responsibilities
- Handle comprehensive payroll processing for approximately 300 employees across multiple states, guaranteeing timely and accurate payments.
- Carefully verify payroll information prior to final approval, detecting and resolving discrepancies to uphold data integrity.
- Manage changes affecting employee pay and employment status including hiring, terminations, incentives, and other compensation modifications.
- Oversee payroll deductions and withholdings such as benefits, retirement plans, and garnishments ensuring legal and plan compliance.
- Maintain systematic payroll records and ensure adherence to company policies and wage and hour laws.
- Reconcile payroll accounts and analyze reports to swiftly identify and correct discrepancies.
- Support quarterly and annual payroll closing processes including year-end reconciliations and tax document preparation.
- Address employee inquiries regarding pay, tax choices, direct deposit, and payroll processes with professionalism.
- Collaborate with Human Resources and Accounting departments to keep employee and compensation data accurate across systems.
- Assist in audit preparations by supplying payroll documentation and help improve payroll procedures, controls, and processes.
Qualifications and Requirements
- Minimum of three years' experience in payroll roles, including direct responsibility for administering multi-state payrolls.
- Demonstrated experience managing full payroll cycles for organizations with 101 to 500 employees.
- Proficiency using ADP Workforce Now, ADP TotalSource, or similar ADP platforms.
- Strong knowledge of federal, state, and local payroll tax regulations and reporting standards.
- Advanced skills in Microsoft Excel, including use of VLOOKUP and pivot tables.
- Understanding payroll reconciliation and related accounting entries.
- High attention to detail, discretion with confidential data, and effective problem-solving skills.
- Bachelor’s degree in Accounting, Finance, Human Resources, Business Administration, or related field is preferred; certification as a Certified Payroll Professional (CPP) is advantageous.
