Order Book Support Operator

Role Overview

The Order Book Support Operator plays a crucial role in managing the daily processing of spares and repair orders to ensure timely fulfillment of inventory and asset requirements. This includes handling urgent demands such as Aircraft on Ground (AOG), critical spares generation, and direct receipt deliveries, aligning with contractual timelines and budget limits. Furthermore, the operator contributes to forecasting and optimizing inventory levels to maintain adequate repairable and consumable asset stocks that satisfy customer needs.

Duties and Responsibilities

• Assist the Spares & Repairs Coordinators by ensuring prompt order placements and efficient execution of all order book transactions.
• Aid the PPC supervisor in managing all AOG spares activities, exhausting every possible demand resolution option swiftly while adhering to compliance requirements.
• Collaborate with the Integrated Technical Logistics Operations Cell (ITLOC) to fulfill the customer's operational requirements effectively.
• Support the PPC supervisor during DSUMs and AOG coordination calls with UK counterparts, maintaining up-to-date and accurate PPC spreadsheets.
• Help manage inventory through strategic planning, stock positioning, monitoring item conditions, and balancing product availability against budget and service targets.
• Under guidance, explore alternative supply sources to reduce expenditures and determine the optimal asset solution, including repair, overhaul, or provision of spares, while scheduling tasks for repair bay facilities.
• Ensure internal and external customers, especially the QEAF Typhoon Fleet, receive services in line with business KPIs, guaranteeing on-time delivery and high-quality standards.
• Mentor QEAF staff newly joining the MOB Organisation from the Qatar Technical Institute.

Key Responsibilities

• Understand and apply relevant regulatory frameworks within DF&P processes and activities.
• Establish and maintain productive relationships with Customers, Part 145 Organisations, Order Book Management, OEMs, Suppliers, and other vital stakeholders.
• Possess a solid grasp of platform contract terms concerning direct and indirect aspects related to key performance indicators.
• Display operational and commercial awareness regarding fleet performance metrics and business KPIs.
• Promote and support a culture of Continuous Improvement and enhance management reporting systems accordingly.
• Assist DF&P teams with issues related to forecasting and planning.
• Analyze supply chain data to pinpoint recurring issues and communicate findings to stakeholders, supporting corrective action where applicable.
• Demonstrate competency in operational supply chain activities by defining, recommending, and managing process improvements integrated into everyday operations.

Qualifications and Requirements

• Desirable: Advanced proficiency in Microsoft Excel.
• Preferred but not mandatory: Institute of Supply Chain Management Level 3, NVQ3, or an equivalent qualification.
• A valid driving license is required.
