Job Overview

The role of Operations Coordinator - Fuels involves managing and coordinating inspection activities and resources to ensure efficient operational functioning within the fuels sector. The coordinator acts as a communication hub between inspectors, clients, vendors, and internal teams while ensuring adherence to quality, regulatory, and safety standards.

Primary Duties

  • Plan and manage inspection scheduling, coordinating inspector availability to guarantee timely deployment to inspection sites.
  • Serve as the main liaison for inspectors, clients, and internal departments to maintain clear and effective communication throughout inspection phases.
  • Oversee the allocation and utilization of personnel, equipment, and materials to maximize operational efficiency.
  • Ensure inspections comply with established procedures and quality standards; maintain thorough and accurate documentation for all inspections.
  • Monitor and analyze operational performance metrics, identify improvements, and report insights to management.
  • Address and resolve operational challenges, troubleshoot technical issues, and escalate when necessary.
  • Coordinate with vendors and suppliers regarding equipment maintenance, repairs, and other operational requirements.
  • Keep precise records of operational activities, including inspection reports, schedules, and other critical documentation.
  • Ensure compliance with industry regulations, company policies, and safety guidelines at all times.
  • Support training for new inspectors and provide ongoing assistance to the inspection team.
  • Engage with clients to respond to queries, resolve issues, and uphold client satisfaction.
  • Assist in preparing operational budgets and monitoring expense tracking.

Required Skills and Qualifications

  • Knowledge of applicable industry standards, inspection methods, and related equipment used within the fuels sector.
  • Exceptional organizational skills capable of handling multiple responsibilities, prioritizing effectively, and meeting deadlines consistently.
  • Strong written and oral communication abilities to clearly interact with diverse stakeholders.
  • Effective problem-solving capabilities to diagnose and remediate operational issues promptly.
  • Ability to collaborate well with others, fostering teamwork and positive relationships.
  • Good proficiency with computers, particularly Microsoft Office suite and other relevant software platforms.
  • High attention to detail ensuring accuracy in record keeping and reporting tasks.
  • Adaptability to shifting priorities and ability to perform efficiently in a dynamic, fast-paced environment.
