Job description
Job Location and Employment Type
This role is based in Rivers State, Nigeria, and is a full-time onsite position.
Key Responsibilities
- Coordinate office meetings and ensure that all assigned tasks are completed on schedule.
- Manage the relationships with insurance brokers for safeguarding company assets.
- Communicate regularly with the Managing Director to track and resolve purchase order actions when the office manager is unavailable.
- Take charge of all office and residential equipment, including payments and maintenance.
- Lead and facilitate customer-facing communications to expedite orders swiftly and efficiently, especially in the absence of the office manager.
- Maintain detailed logs of communication with Original Equipment Manufacturers (OEM) and Industrial Oil Companies (IOC) regarding orders, under guidance or independently when necessary.
- Collaborate routinely with the accounting department to establish clear targets and timelines to optimize their outputs.
- Oversee management of company vehicles to ensure proper use and maintenance.
- Review and approve quotes provided by expediting staff, especially when the office manager is unavailable.
- Work closely with expediting and logistics teams for local and long-distance deliveries to ensure smooth operations.
- Ensure the asset register is regularly updated by the accountants.
- Support the Accounts team during Federal Inland Revenue Service (FIRS) and Lagos Internal Revenue Service (LIRS) audits.
- Supervise multiple employees to maintain efficient office operations.
- Manage ISO certification audits and the associated documentation.
Candidate Requirements
- A Bachelor’s degree (B.Sc) or Higher National Diploma (HND) in Business Administration or a related discipline.
- Minimum of five years' experience in office management or related administrative roles.
- Exceptional organizational skills with the ability to handle multiple tasks simultaneously.
- Strong verbal and written communication capabilities.
- High emotional intelligence combined with discretion and a professional demeanor.
- Proficiency in Google Workspace or Microsoft Office Suite.
Compensation and Application Details
The monthly salary offered for this position is 520,000 Nigerian Naira (NGN).
