Role Overview
As the Office Manager, you will be the central coordinator of our Auckland office environment, ensuring it remains professional, organised, and welcoming. Your responsibility will include the day-to-day management of office operations, supporting the Senior Leadership Team, and fostering an effective workspace that enables everyone to excel. This diverse, hands-on position requires someone who anticipates needs, resolves issues proactively, and brings new ideas and digital solutions to enhance workplace efficiency.
Key Responsibilities
- Maintain a well-organised and pleasant office atmosphere, managing supplies, maintenance, seating arrangements, health and safety, and liaison with building management and landlords.
- Provide comprehensive administrative and calendar management support to the Senior Leadership Team, including preparing reports, presentations, and coordinating travel arrangements.
- Oversee supplier relationships, contract management, and budgeting with a focus on service quality and cost efficiency.
- Assist in planning and executing company events such as conferences, celebrations, team gatherings, and management offsites.
- Handle general administrative duties including phone accounts, staff attendance logging, fleet management, courier coordination, travel arrangements, external partner support, and ad hoc report preparation.
- Drive continuous improvement initiatives by employing approved AI and digital technologies to streamline processes and increase productivity.
Candidate Profile
You bring a minimum of three years’ experience in office management, workplace coordination, executive support, or a comparable operational role. You thrive on taking initiative and managing multiple priorities with ease. You have proven experience engaging with senior business leaders, excellent verbal and written communication skills, and strong organisational and event management capabilities. Commercial acumen in supplier and expense management, coupled with an ability to craft clear, professional reports and presentations, is essential. You are proactive in solving problems and open to integrating new digital and AI tools to improve work quality.
