Job description
Role Overview
Join a top global technology firm as an Office Coordinator located in the newly established Auckland CBD office. This position focuses on delivering excellent support and managing all aspects of office operations while assisting local management, IT, People teams, and other departments to nurture a productive and positive workplace culture.
Key Responsibilities
- Oversee daily office functions such as answering phone calls, visitor management, managing deliveries, and maintaining supplies, office equipment, and company swag.
- Ensure office cleanliness, safety, and proper maintenance, collaborating with building management for facilities-related concerns.
- Maintain vendor relationships including procurement and inventory management duties.
- Partner with both local and international colleagues to support initiatives spanning New Zealand and US offices.
- Act as a communication liaison for employees and visitors to facilitate smooth information flow within the office environment.
- Assist in organizing company events, meetings, and team-building activities, occasionally including offsite events.
- Create programs that encourage social engagement among staff such as social gatherings, celebrations, and wellness initiatives.
- Lead efforts in health and safety by coordinating the local health and safety committee and ensuring office compliance.
- Support leadership with administrative requirements including preparing meeting documentation, travel arrangements, and basic project tasks.
- Collaborate with HR and IT to assist with recruitment, onboarding, offboarding, and other related activities.
- Provide backup support for a variety of special projects and other team needs as required.
Required Skills
- Excellent interpersonal skills along with clear written and oral communication.
- Proficiency with MS Office or Google Suite at an intermediate level.
- Strong organizational capabilities and effective time management.
- Experience coordinating projects.
- Ability to function independently as well as collaboratively within a team.
- High level of discretion and adherence to ethical standards.
Additional Information
Internal interactions range from team members up to board-level executives; externally involves suppliers, vendors, building managers, recruiters, and clients. Typical candidates have a background in office administration or similar roles.
