Job description
About the Role
This position reports directly to the Director of Human Resources and oversees employee dormitory operations. The manager ensures that dormitory facilities remain clean and safe while enforcing all policies pertaining to employee housing. The role is essential in maintaining a productive and compliant staff living environment at the Doha West Bay location.
Key Responsibilities
- Assign rooms to employees upon check-in based on the Dormitory Enrollment Requests.
- Conduct staff check-in and check-out procedures, issuing linens and keys, and completing clearance documentation.
- Perform daily inspections of dormitory public spaces and staff rooms, scheduling regular cleanliness audits and addressing any maintenance issues promptly.
- Coordinate with external contractors for routine pest control.
- Enforce dormitory rules and regulations, reporting serious disciplinary incidents to Human Resources and educating employees as needed.
- Maintain room key copies in accordance with established policies.
- Collaborate with contractors to ensure fire safety equipment and electrical systems are regularly inspected, keeping accurate records.
- Partner with the hotel Loss Prevention Director to organize scheduled fire drills.
- Implement the visitor policy for the dormitory to maintain security and order.
- Monitor dormitory contract stipulations, reporting any violations and ensuring compliance.
- Prepare and submit the dormitory staff duty roster for approval.
- Document dormitory-related issues including maintenance requests, special staff requirements, and check-in/check-out records.
- Update and submit weekly rooming lists to the Human Resources department.
- Assist with planning and executing linen purchases and replacements per the approved schedule.
- Coordinate with laundry services for weekly linen changes.
- Oversee adequate stock levels of supplies such as cleaning chemicals and garbage bags.
- Maintain accurate inventories of all dormitory furnishings and items, including bunk beds, wardrobes, linens, electrical appliances, and chemicals.
Human Resources Activities
- Encourage employee feedback by maintaining an open-door policy.
- Communicate employee satisfaction issues to department managers and Human Resources personnel.
- Support employee progressive disciplinary processes as part of HR procedures.
Additional Duties
- Effectively communicate with supervisors, colleagues, and subordinates via phone, email, and face-to-face.
- Critically analyze information and results to devise effective solutions to problems.
- Provide timely updates and relevant information to executives, peers, and subordinates to ensure smooth operational flow.
Candidate Profile
Education and experience requirements include either a high school diploma or GED coupled with three years of experience in human resources, management operations, or a related field, or a two-year degree in Human Resources, Business Administration, or a related area with at least one year of relevant experience.
