Role Summary

The Domain Lead for Teaching Allocation and Timetabling is a pivotal position responsible for overseeing and enhancing the processes related to academic workload distribution and class scheduling at Temasek Polytechnic. This full-time role is structured as a two-year contract and requires close collaboration with multiple stakeholders, including academic departments, central operational teams, IT services, vendors, and project teams to ensure effective, user-centric, and well-coordinated academic scheduling systems aligned with the institution's operational goals.

Key Responsibilities

  • Lead and manage the teaching allocation, workload planning, class timetabling, and related scheduling functions institution-wide.
  • Align overlapping processes, dependencies, integration points, and solutions, offering peer guidance to other domain leads when needed.
  • Assist in implementing, configuring, testing, and improving academic scheduling platforms alongside vendors and internal teams, ensuring business rules, workflows, data setups, access, reports, and integrations are validated.
  • Maintain and update functional specifications, test documentation, and other deliverables, while recommending balanced options that consider business requirements, sustainability, security, cost efficiency, integration complexity, and user experience.
  • Engage actively with multiple stakeholders—including academic schools, coordinators, lecturers, project managers, technical teams, and vendors—to promote alignment and timely decision-making.
  • Develop communications materials, process guides, decision documents, user documentation, and support training and knowledge transfer activities coordinated with the Change Management Team.
  • Manage expectations, risks, interdependencies, and issues by facilitating resolutions or escalations and regularly reporting to the Functional Manager and stakeholders.
  • Ensure the precision and prompt flow of curriculum, module, class, staff, student, venue, calendar, and constraints data essential for allocation and scheduling processes.
  • Establish and monitor data quality assurance, exception handling, reconciliation, and comprehensive audit trails.
  • Deliver secondary functional support during critical periods such as planning cycles, peak scheduling, timetable publication, and subsequent modifications.
  • Analyze trends from recurring issues, user feedback, and operational data to recommend process improvements, automation, reporting enhancements, and better user experiences.
  • Contribute to incident review processes, root cause analysis, service improvement efforts, and the transition to steady-state operations, including knowledge sharing and escalation protocol development.
  • Keep abreast of latest developments in education technology, academic operations, and scheduling trends to propose pragmatic advancements to TP's digital academic planning capabilities.

Qualifications and Experience

  • A degree or qualification in Information Technology, Computer Science, Education Technology, Business Information Systems, Operations Management, or similar fields.
  • A minimum of three years' experience in academic operations, education technology, timetabling, workload management, student administration systems, enterprise applications, or leadership roles in comparable IT or business domains.
  • Understanding of Agile methodologies, DevSecOps, data governance frameworks, dashboard creation, and service management principles; experience in data analytics is a plus.
  • Demonstrated leadership capabilities, such as team supervision, peer mentoring, or leading cross-functional projects; professional certifications related to leadership or project management are beneficial.
