Role Summary
As the operational pillar of the headquarters, you will serve as the primary contact ensuring smooth functioning across teams and locations, preventing business interruptions. This dynamic and hands-on position involves addressing current operational challenges and designing systems to preempt future issues. You will collaborate directly with the Chief Operating Officer and build operational channels from scratch, with success measured by tangible outcomes rather than just activities.
Key Responsibilities
- Act as the frontline contact for daily operations, promptly resolving team and site queries and converting frequent issues into well-documented, reusable solutions.
- Manage the operations hotline, oversee the AI chatbot, and coordinate incoming tickets with designated owners and deadlines.
- Set up new B2B customers in internal systems including HubSpot and independently handle customer inquiries.
- Oversee the complete operational onboarding process to ensure new employees are fully productive from day one.
- Independently manage issues concerning rental sites and assets from initial report through resolution and assist with geographic expansion.
- Identify repetitive manual tasks, thoroughly document them, and implement automation using tools such as n8n and AI to reduce manual workload.
- Mid-term responsibility: Take charge of staff scheduling and daily operations in expansion regions using OrbitControl and Shiftbase, ensuring adequate staffing and job assignments.
Candidate Requirements
- Fluency in German at C2 level is mandatory.
- Valid driver's license category B recognized in Germany.
- Ability to remain composed and organized under pressure, confidently prioritizing tasks amid frequent interruptions.
- Strong customer service orientation with clear and structured communication skills.
- Proactive and hands-on attitude with a sense of ownership; persistently follow up on external vendors until tasks are completed.
- Process-oriented mindset with the ability to identify automation opportunities and drive improvements independently.
