Key Responsibilities

  • Develop and maintain a storage inventory system ensuring continuous supply availability.
  • Allocate inventory tags to designated assets and equipment; replace damaged tags for accurate tracking throughout UDST.
  • Achieve supply chain targets and maintain reorder levels for general supplies and consumable spare parts.
  • Manage inventory and filing systems for facilities management stores and respective school inventory repositories.
  • Conduct biannual comprehensive inventory audits on all stock and supplies, updating databases including FAMIS and PeopleSoft.
  • Supervise inventory staff, housekeeping teams, and liaise with security to guarantee safety and security of all assets.
  • Evaluate and enhance supply flows via vendors appointed through procurement, reporting regularly to the Head of Facilities Maintenance and Operations.
  • Ensure all documentation related to requisitions—such as approvals, receipts, and issue vouchers—are completed accurately and properly filed.
  • Detect, analyze, and resolve shortcomings within inventory management processes.
  • Assist with internal audit preparations by providing required documentation as requested by the Head of Facilities Maintenance and Operations.
  • Maintain precise inventory records by collecting data, completing necessary forms, and updating inventory entries in line with UDST policies.
  • Verify accuracy of records and asset locations mid-year; prepare reports reflecting the status of documentation.
  • Perform physical field inventories to cross-verify documentation accuracy by locating, identifying, and counting assets.
  • Locate missing items, conduct location transfers, reconcile discrepancies, and document all actions for reporting as per university protocols.
  • Complete miscellaneous duties as assigned.

Qualifications

  • Bachelor's degree in Inventory and Warehousing or a related discipline.
  • At least 4 years of experience in Facilities Management or a closely related area.
  • Proficiency in written and spoken English is mandatory.
  • Arabic fluency, both written and spoken, is preferred but not compulsory.
