Job Overview: Guest Relations Officer
The Guest Relations Officer plays a crucial role in delivering seamless and personalized guest interactions, from check-in to check-out, enhancing the overall luxury experience through attentive service and operational excellence.
Key Responsibilities
- Perform efficient and friendly guest check-in processes, ensuring to use guest names and update guest history details in the system per Four Seasons standards.
- Verify villa assignments and rates to match guest requests accurately.
- Issue correct villa keys and manage check-out procedures, including billing, collecting keys, and facilitating smooth departures with coordination of transport.
- Manage cashiering tasks such as foreign currency exchange, posting charges, giving change, and balancing cash floats daily.
- Respond promptly and professionally to guest inquiries about hotel services, facilities, and local recommendations.
- Handle concierge services including transfers, excursion bookings, and airport arrangements.
- Manage PBX duties such as coordinating buggies, handling wake-up calls, and phone line settings.
- Address guest feedback and ensure appropriate management follow-up through experience reports.
- Maintain lobby cleanliness and presentation, including daily decoration and atmosphere adjustments.
- Participate actively in upselling initiatives within the front office.
- Keep current with all relevant computer systems and attend required trainings.
- Complete daily tasks, update shift handover records, and adhere to grooming and conduct standards.
- Respond to emergencies, enforce security policies, and report suspicious activities following hotel guidelines.
- Assist other departments during peak times and support resort tours or buggy services when needed.
Qualifications and Skills
- Proficiency in reading, writing, and speaking English; additional languages are a plus.
- Previous experience in hospitality preferred.
- Ability to perform physically demanding work and stand for prolonged periods.
- Familiarity with computer systems including Opera/PMS.
- Self-motivation with minimal supervision.
- Willingness to work flexible shifts, including mornings, evenings, nights, weekends, and holidays.
