About the Role

Mackay Regional Council invites applications for a full-time, permanent Fleet Support Officer position located at the Paget Depot. This role is integral to the Mobile Assets team and focuses on delivering comprehensive administrative and systems support to maintain smooth fleet operations across the Council.

Key Duties

  • Deliver daily administrative, operational, and reporting assistance to the Fleet Coordinator, Mobile Assets team, fleet personnel, and internal Council departments.
  • Maintain and help staff navigate internal fleet management systems such as the Vehicle Booking System and the Electronic Prestart Application.
  • Keep precise records of fleet assets using registers, databases, spreadsheets, and reporting dashboards to facilitate sound management decisions.
  • Coordinate with stakeholders internally and externally to process purchase orders, invoices, reconciliations, and correspondence related to fleet activities.
  • Manage fuel card administration including ordering, distribution, record maintenance, and reporting fuel usage both routinely and on demand.
  • Utilize advanced Microsoft Excel, Power Automate, and Power BI tools for enhanced reporting, workflow optimization, and continued process enhancements within fleet administration.
  • Assist in the commissioning and decommissioning of vehicles and equipment in cooperation with fleet operations and other relevant personnel.
  • Support processes related to small plant replacements, tenders, quotations, and wider fleet replacement by managing communications and information flow among team members and suppliers.
  • Apply Council policies and procedures to address customer inquiries, disseminate information, and foster a cooperative team environment.

Candidate Profile

The role requires someone who thrives in a varied work environment, values accuracy, and is dependable in providing practical support. The ideal candidate will be skilled at handling multiple priorities calmly and efficiently, building positive relationships, and communicating clearly across teams.

Essential experience includes administrative work in customer service or operational support, proficient use of business systems and databases, and strong competency in Microsoft Excel, data analytics, and reporting. Familiarity with Power BI, Power Automate, purchase orders, reconciliations, and invoice processing is desirable.

Mandatory Requirements

  • A valid Queensland class C driver’s license or an interstate equivalent.
  • Proven administrative experience supporting customer service or operational functions.
  • Experience supporting operational or asset-based business systems and applications.
  • Strong communication, collaboration, organizational, and time management skills.
