Overview

Join Ventia as a Fleet Coordinator supporting critical healthcare services at Palmerston North Hospital. This role goes beyond simple fleet management, directly enabling healthcare professionals to reach patients across the Palmerston North and Whanganui regions by managing a diverse fleet of approximately 300 vehicles.

Role Summary

Reporting to the Fleet Manager and partnering with another coordinator, you will independently handle vehicle bookings, compliance, servicing, records, and customer service tasks in a dynamic, fast-paced environment. Strong administrative skills, attention to detail, and the ability to juggle multiple priorities and systems are essential.

Key Duties

  • Manage vehicle bookings and allocations using the SmartTrack fleet management software
  • Address booking inquiries and respond to fleet-related questions from users
  • Ensure vehicle compliance requirements like servicing, Warrant of Fitness (WOFs), registration, and maintenance schedules are met
  • Coordinate vehicle servicing appointments and transport vehicles as needed
  • Maintain precise fleet records and assist in reporting
  • Deliver excellent customer service to stakeholders within the healthcare network
  • Contribute to ongoing improvements and optimization of fleet operations

Candidate Profile

Ideal candidates thrive on problem-solving, adapt rapidly to shifting priorities, maintain composure under pressure, and communicate professionally. Administrative and coordination expertise paired with advanced Excel knowledge are important. You will work both independently and collaboratively with stakeholders, ensuring compliance and supporting essential healthcare services.

Requirements

  • Proven experience in administration and coordination
  • Intermediate to advanced skills in Microsoft Excel
  • Ability to quickly learn and operate multiple systems and applications
  • Excellent organizational abilities and keen attention to detail
  • Confidence working autonomously while building strong relationships with stakeholders
  • Solid understanding of vehicle compliance procedures
  • Possession of a current New Zealand Class 1 full driver's license
  • Customer-oriented mindset dedicated to supporting healthcare services
