Role Overview
As the Facilities, Site & Property Executive, you will be responsible for optimizing the performance, compliance, and efficiency of Digicel's property holdings. This role involves ensuring safe, sustainable, and well-managed physical environments through effective facilities management, residential housing coordination, and stakeholder engagement.
Key Responsibilities
- Manage the company's housing programme aligned with policies, guidelines, and allowance frameworks.
- Identify and source suitable accommodations by engaging with real estate agents, landlords, and property managers.
- Assist expatriate staff in securing both short- and long-term housing to support smooth onboarding.
- Maintain comprehensive records of all housing agreements, leases, and company-owned residential properties.
- Oversee maintenance and prompt repair of residential rental properties to meet established standards.
- Coordinate payments related to rent, property taxes, insurance, and other housing expenses.
- Conduct routine property inspections to ensure compliance with housing laws, building codes, and fire safety standards.
- Foster and maintain strong relationships with landlords and property managers to ensure excellent service and responsive resolution of issues.
- Assist in managing the company’s retail stores, office spaces, warehouses, and technical facilities.
- Coordinate maintenance and repair activities for commercial properties by working with property managers and contractors.
- Support planning and implementation of preventive and corrective maintenance programs for building systems such as HVAC, electrical, and plumbing.
- Ensure compliance with occupational health and safety regulations, fire safety laws, and other statutory requirements.
- Monitor operational and utility expenses, seeking opportunities to enhance efficiency and reduce costs.
- Manage vendor relationships including onboarding, account setup, payment, and performance reviews.
- Support office space planning, renovations, and workplace improvements to boost operational efficiency and employee satisfaction.
- Contribute to corporate sustainability efforts including waste management, energy conservation, and resource management programs.
- Assist with preparation, execution, and monitoring of lease agreements and Commercial Service Forms (CSFs) for telecommunications and operational sites.
- Maintain accurate lease records and ensure agreements are current and accessible.
- Manage lease payments, reconciliations, and rent reviews per contract terms and schedules.
- Liaise with landlords/stakeholders to resolve lease-related issues and ensure adherence to lease obligations.
- Support site acquisition, evaluation, and assessment initiatives as needed.
- Ensure lease-related finances are properly documented and comply with internal controls and governance standards.
- Provide operational and administrative assistance including front desk relief, documentation preparation, vendor payment processing, and utility bill management across multiple locations.
- Prepare and process Spend Control Tower requests supporting internal approval frameworks.
- Support project documentation, receipting, and deliverable tracking.
- Maintain compliance records such as certifications, inspections, warranties, and audit documentation.
- Participate in emergency response activities and contribute to disaster recovery and business continuity efforts.
Qualifications and Experience
- Bachelor’s degree in Business Administration, Management, or related discipline.
- At least 2 years of relevant professional experience, preferably in facilities, housing, real estate, or property administration.
Skills and Competencies
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Strong oral and written communication abilities.
- Effective problem-solving with a solutions-oriented approach.
- Good knowledge of property management and the local real estate market.
- Financial acumen and budgetary awareness.
- Attention to detail, diligence, and accuracy.
- Ability to work under pressure and meet deadlines consistently.
- Excellent organizational and document management skills.
