Overview
The Facilities Maintenance Technician plays a pivotal role in supporting the management of building operations by delivering integrated facilities services encompassing hard and soft maintenance tasks, energy oversight, and project execution. This role requires teamwork, exceptional client service, and adherence to processes under the management of the Facilities M&E Engineer. Flexibility to work additional hours when needed is essential, with core hours from Monday to Friday, 09:00 to 17:30.
Key Responsibilities
- Oversee daily maintenance and repair activities for building assets and equipment.
- Act as the primary liaison for Mechanical & Electrical (M&E) needs and coordinate with third-party vendors on site.
- Manage the Facilities M&E Planned Preventative Maintenance (PPM) schedule to ensure compliance with regulations, including fire alarms, lighting, generator testing, HVAC, and other statutory tasks conducted by contracted providers.
- Supervise external contractors for installations, scheduled maintenance, and repairs covering MEP systems, landscaping, health & safety, and fire-fighting equipment.
- Maintain certificates of preventative maintenance and contribute to regular team discussions.
- Prepare weekly and monthly reports on reactive and scheduled maintenance activities, document findings, and address any issues utilizing various facilities management systems such as FM 360, Facilities Team Tracker, and Drive Records.
- Keep comprehensive records of service reports for clients and landlords and make use of Operation & Maintenance manuals.
- Update and manage asset lists and as-built drawings.
- Compile and ensure timely, accurate completion of site-specific documentation including property information, site operating manuals, emergency procedures, safety meeting logs, work and purchase order logs, vendor insurance certificates, paid invoices, contracts, annual property condition reports, and performance reviews.
- Conduct minor general maintenance tasks such as furniture and office repairs or arrange third-party services within expected timeframes.
- Perform routine daily and monthly facility inspections to ensure optimal operation and immediately address any issues found.
- Maintain all facility equipment in good working order aligned with the planned maintenance program to maximize efficiency and reduce costs.
- Ensure contractors comply with client policies, including verification of method statements, permits, health & safety policies, and insurance prior to site access.
- Exhibit strong organizational skills by managing documentation thoroughly.
- Coordinate with security teams to manage third-party contractor access within the building.
- Assist project coordination for renovations and office reconfigurations.
- Promote a safe and effective working environment at all times.
- Accompany vendors onsite during work completion and ensure prompt responses to call-outs.
- Support facilities team in budget management by processing purchase orders and invoices via Yardi finance software.
- Manage furniture re-arrangements throughout the building for meetings or events, including occasional manual handling.
- Provide ongoing contributions during team meetings.
- Be available for and coordinate ad hoc after-hours and weekend maintenance or repair jobs as needed.
Work Conditions
The position is based onsite in Dublin with standard hours of Monday to Friday 09:00-17:30. Additional hours may be required on an ad hoc basis to support after-hours maintenance.
