Job description
Overview
This role involves overseeing and coordinating various aspects of facility management within a corporate environment, ensuring smooth operations and a safe, efficient workplace.
Key Responsibilities
- Manage and oversee numerous vendors and contractors, including negotiating contracts and controlling expenses.
- Conduct random inspections of cleaning and maintenance services to ensure quality standards.
- Address spontaneous requests from employees and management promptly.
- Ensure all critical facility issues are resolved effectively and develop plans for corrective action.
- Monitor and handle emergency or urgent workplace situations as they arise.
- Regularly evaluate the workplace to identify opportunities for enhanced efficiency, safety, and user experience.
- Maintain updated asset registers and manage maintenance schedules diligently.
- Analyze workplace data and key performance indicators, preparing detailed monthly reports.
Required Skills and Expertise
- Strong abilities in collecting, analyzing, and interpreting operational data related to the workplace.
- Capability to generate and present KPI and service level agreement reports.
- Experience in maintaining asset management systems and scheduling upkeep tasks.
- Competence in vendor coordination, including conducting quality assurance inspections and negotiating agreements.
- Knowledge of workplace experience management and customer service principles.
- Understanding of Environment, Health, and Safety (EHS) regulations and emergency preparedness protocols.
- Analytical thinking to identify trends and propose workplace improvements.
- Excellent written and verbal communication skills facilitating collaboration with cross-functional teams.
- Strong organizational capabilities, managing multiple priorities with attention to detail and deadline compliance.
- Technical proficiency with Microsoft Office and familiarity with workplace technology systems.
Qualification Requirements
- Diploma or ITE certification in Facilities Management.
- Demonstrated experience in facility management, particularly within corporate setups.
- Proven interpersonal and communication skills.
- Preference for candidates experienced in vendor management and enhancing customer experience.
