Job Overview
The Export Documentation Executive will be responsible for managing and overseeing daily export activities along with precise documentation to support international trade operations.
Key Responsibilities
- Manage daily export processes and ensure complete and accurate documentation for shipments.
- Prepare, review, and validate export-related documents including invoices, packing lists, shipping bills, and certificates.
- Liaise and coordinate with international clients, freight forwarders, shipping lines, Customs House Agents (CHA), and transportation providers to ensure smooth export operations.
- Oversee export orders from the point of confirmation until the final shipment is dispatched.
- Monitor shipments and provide timely status updates to customers to ensure transparency and service excellence.
- Cooperate with internal departments such as production, packing, dispatch, and logistics to facilitate seamless operations.
- Ensure adherence to export regulations, customs norms, and internal company policies.
- Maintain comprehensive records of export orders, shipment details, payments, and related documents for audit and reference purposes.
- Follow up on Letters of Credit (LC), advance payments, outstanding dues, and bank-related documentation to maintain financial compliance.
- Address and resolve any customer queries or issues concerning exports promptly and effectively.
- Generate and maintain regular Management Information System (MIS) reports and shipment tracking status reports.
- Support efforts in building and sustaining strong international client relationships for sustained business growth.
